We operate three Los Angeles area locations with approximately 40 staff and 11 providers. We are hiring a Director of Clinical & Practice Operations to run our three sites day to day as our CEO's operating partner. The role leads our office managers and registered nurses, runs the infusion and biologic program, and covers the business side, including prior authorization, budgets, the electronic health record, and supply chain. You will also run our Encino location directly until we hire an office manager there, who will report to you.We are opening this seat to clinical leaders. If you have led nurses and run an ambulatory clinic, we would like to talk with you even if you have not yet run every part of the business side. This is a hands-on role. With 40 staff and no analysts or HR department, you will write protocols, pull your own numbers, work through scheduling problems alongside the office managers, and help cover when someone is out. A physician partner holds clinical practice authority over scope, delegation, and validation sign-off, and you run the operation around it.What Success Looks Like In The First YearIn your first 60 days, you know every site and its people, clinical and administrative, and where each site's day breaks down.Office managers run their sites to one standard and a shared scorecard covering access, calls, patient flow, follow-up booking, turnover, and prior authorization turnaround.Operating and clinical questions are settled at your level or below, so the CEO can focus on patient care and leading the practice.Infusion and injection practice follows one written standard, with backup coverage at every site.Encino has a permanent office manager who is hired, trained, and running the site to the same standard as the other two.Key ResponsibilitiesPractice OperationsLead the office managers. Set expectations, meet weekly, coach them as site leaders, and own the staffing model, hiring standards, and onboarding for all sites. One operating standard. Decide how every site handles front office, scheduling, phones, patient flow, and follow-up booking, and check that the sites follow it.Compliance and quality. Keep operations in line with health privacy, workplace safety, laboratory, and California scope-of-practice requirements, and own infection control and incident follow-up.Nursing and InfusionLead the nurses. Hire, schedule, develop, and manage every registered nurse.Infusion program. Manage chair capacity and utilization, and schedule patients against chair availability.Standards and competency. Write the clinical procedures the practice follows, including drug storage, temperature monitoring, and dispense accuracy at the chair, and validate competency for nurses and, through office managers, medical assistants. The Business SidePrior authorization. Own the function across medical and pharmacy benefit routes, including turnaround, denials, and appeals.Budget and reporting. Own site budgets, labor cost, and the monthly operating report, working with our VP of Finance.Billing and payers. Work with our outside billing company on denials and charge capture, and keep provider credentialing on schedule.Systems. Serve as the internal owner of our electronic health record and practice management system, including future system changes.Supply chain. Lead our Supply Chain and Procurement Manager, who handles purchasing, inventory, and vendors.Qualifications & ExperienceRequiredAn active California clinical license as a registered nurse (RN) or licensed vocational nurse (LVN).10+ years in healthcare, starting in clinical work and moving into operations and management. At least four years leading staff in an outpatient or ambulatory setting, accountable for staffing, coverage, performance, and results.Hands-on infusion or injectable biologic experience, including running infusions yourself.Responsibility beyond the clinical team, such as the front office, scheduling, patient flow, or a whole clinic or site.Comfortable being onsite five days a week across our three locations.Strongly preferredLeading other managers or supervisors, or accountability for more than one site.Hands-on exposure to prior authorization, a clinic budget, or electronic health record setup.Specialty practice background where infusion or in-office drug administration is central: rheumatology, oncology, gastroenterology, neurology, dermatology, allergy and immunology.Experience in a practice of roughly 20 to 75 employees.Nice to haveBachelor's or master's degree in nursing, healthcare administration, or a related field. Equivalent experience considered.Bilingual English and Spanish, Armenian, Farsi, or Russian. This may not be the right fit ifYou want to focus only on nursing or clinical quality, since more than half of this job is the front office, scheduling, and the numbers.Your recent work has been leading a large department through several layers of managers with analyst and HR support, because this role spends most days close to the front line.Additional DetailsWork environment: Outpatient clinical setting with standing, walking, hands-on patient care when covering infusions, and travel between sites, with or without reasonable accommodation.
