Job SummaryThe Dispatcher is responsible for planning and coordinating daily truck movements to ensure petroleum product deliveries are completed safely and on time. The primary focus of the role is coordinating truck drivers on delivery trips, liaising with suppliers for truck loading and with clients for discharge, and working with terminal operators to keep loading and discharging running smoothly. The role also manages fleet upkeep and compliance — coordinating truck repairs and preventive maintenance with the mechanic, handling vehicle renewals with the RTA, monitoring traffic fines, and administering driver trip allowances — while supporting yard operations, stock records, and HSE compliance. The position works on a 12-hour shift basis.Key ResponsibilitiesTrip Planning & Driver Coordination (Primary Duty)Plan daily delivery trips and assign trucks and drivers according to the delivery schedule.Coordinate with truck drivers before, during, and after each trip to ensure deliveries are completed on time.Coordinate with suppliers for truck loading appointments and with clients for discharge arrangements at delivery sites.Track truck movements, follow up on delays, and resolve issues arising during trips.Calculate, verify, and process driver trip allowances accurately based on completed trips.Ensure drivers comply with company procedures, delivery documentation requirements, and traffic regulations.Terminal Loading & Discharge CoordinationCoordinate with terminal operators for the loading and discharging of trucks at the terminal.Monitor tanker loading, unloading, and product transfers, ensuring all activities are carried out safely, efficiently, and in accordance with company procedures.Schedule truck arrivals at the terminal and allocate loading slots based on operational requirements.Coordinate the receipt, storage, and dispatch of diesel, gasoil, and other petroleum products.Fleet Maintenance & Vehicle ComplianceCoordinate with the mechanic to schedule truck repairs and preventive maintenance, minimizing vehicle downtime.Manage truck registration renewals with the RTA and ensure all vehicle documents, permits, and inspections remain valid.Monitor traffic fines, report them to management, and follow up corrective action with the drivers concerned.Report vehicle and equipment defects and ensure prompt corrective action to avoid delivery interruptions.Inventory & Stock CoordinationSupport tank gauging and inventory reconciliation activities.Verify daily stock movements and maintain accurate delivery and inventory records.Investigate and report inventory or delivery discrepancies.Health, Safety & Environment (HSE)Follow and promote company HSE policies and safe operating procedures across fleet and yard activities.Participate in toolbox talks and safety briefings with drivers and operators.Ensure drivers use proper PPE and handle petroleum products safely.Report incidents, spills, and near misses, and support incident investigations.Support emergency response activities whenever required.Driver & Team CoordinationCoordinate and monitor the daily activities of truck drivers.Guide drivers on trip procedures, documentation, and safety practices.Monitor driver attendance, availability, and performance, and report concerns to the Transport Manager.Foster teamwork between drivers, terminal operators, and yard personnel.Documentation & ReportingPrepare daily trip and delivery reports, stock reports, and shift handover reports.Maintain accurate records of trips, loading, unloading, product transfers, fines, and trip allowances.Ensure operational documentation complies with company and regulatory requirements.Qualifications & ExperienceDiploma or Bachelor's degree in Logistics, Transport Management, Mechanical Engineering, Industrial Engineering, or a related discipline.Minimum 5 years of experience in fuel distribution, terminal, depot, or petroleum transport operations.Minimum 2 years of experience as a dispatcher or fleet coordinator in transport or terminal operations.Experience coordinating tanker fleets and delivery schedules is strongly preferred.Familiarity with RTA vehicle registration and compliance requirements is an advantage.Skills & CompetenciesStrong knowledge of fuel distribution, fleet dispatch, and terminal operations.Experience with tanker loading/unloading scheduling and delivery planning.Good understanding of truck maintenance planning and preventive maintenance scheduling.Strong knowledge of HSE standards related to petroleum operations and road transport.Strong coordination and follow-up skills, with the ability to manage drivers across 12-hour shifts.Excellent planning, communication, and problem-solving abilities.Proficiency in Microsoft Office and operational reporting.Ability to work in a fast-paced, outdoor terminal environment.Working Conditions12-hour shift schedule, which may include day and night rotations.Based in the terminal yard and transport office, with regular field coordination.Exposure to outdoor weather conditions and petroleum handling operations.Weekend duties and emergency call-outs may be required depending on operational needs
