from suppliers and distribution centers to customers and business locations.The RoleWe are seeking a detail-oriented Distribution Assistant / Specialist to support daily distribution activities, shipment coordination, delivery planning, inventory movements, logistics documentation, carrier management, and order fulfillment.The ideal candidate will have strong organizational and coordination skills, attention to detail, basic logistics knowledge, and the ability to monitor multiple shipments and delivery requirements simultaneously.Key ResponsibilitiesSupport day-to-day distribution and logistics operations.Coordinate the movement of products, materials, equipment, and supplies from warehouses or distribution centers to customers and business locations.Process and monitor distribution orders accurately and within agreed timelines.Coordinate with Warehouse, Inventory, Order Management, Sales, Procurement, and Customer Service teams.Review distribution requirements and ensure all necessary information is available before shipment.Verify product quantities, SKUs, destinations, delivery dates, customer details, and shipping instructions.Prepare distribution schedules based on customer requirements, inventory availability, transportation capacity, and operational priorities.Coordinate shipment planning and dispatch activities.Arrange transportation with approved carriers, logistics providers, couriers, and freight partners.Request and compare transportation quotations where required.Coordinate carrier bookings, pickup times, delivery appointments, and shipment instructions.Prepare and maintain delivery notes, packing lists, shipping documents, manifests, waybills, and other distribution documentation.Ensure shipping documentation is complete, accurate, and available before dispatch.Track shipments from warehouse release through final delivery.Monitor shipment status using transportation-management systems, carrier portals, tracking tools, or other approved systems.Follow up on delayed, missing, damaged, or unsuccessful deliveries.Escalate delivery exceptions and coordinate corrective actions.Communicate shipment status and expected delivery dates to internal stakeholders and customers.Maintain accurate records of all shipments, deliveries, returns, transfers, and transportation activities.Update ERP, WMS, TMS, CRM, or logistics systems promptly following each transaction.Coordinate with Warehouse teams to ensure orders are picked, packed, labeled, staged, and released correctly.Verify that shipments correspond to approved customer orders or transfer requests.Support inventory transfers between warehouses, stores, branches, projects, or other locations.Prepare transfer documentation and ensure inventory movements are properly recorded.Monitor inventory in transit and reconcile shipments upon receipt.Investigate discrepancies between shipped, received, and system-recorded quantities.Coordinate with Inventory Control teams to resolve stock discrepancies.Support cycle counts and physical inventory checks when distribution discrepancies arise.Coordinate returns, rejected deliveries, damaged products, and replacement shipments.Ensure returned goods are properly documented and routed to the appropriate warehouse or processing location.Track delivery performance and identify recurring transportation or distribution issues.Maintain records of delivery failures, damages, shortages, delays, and customer complaints.Assist with root-cause analysis and corrective-action activities.Monitor transportation costs and support cost-control initiatives.Compare freight costs across carriers, routes, destinations, shipment types, and service levels.Identify opportunities to consolidate shipments and improve transportation efficiency.Support route and delivery optimization activities.Monitor carrier performance against agreed service levels.Track on-time delivery, delivery accuracy, damage rates, response times, and other carrier KPIs.Prepare carrier-performance reports and escalate recurring performance issues.Assist with carrier onboarding and documentation where required.Maintain approved-carrier lists and relevant supplier records.Coordinate with Procurement regarding logistics contracts, rates, supplier performance, and service requirements.Support invoice verification by matching freight invoices against approved shipments, rates, and transportation services.Identify freight-billing discrepancies and coordinate corrections with Finance and Logistics providers.Maintain accurate distribution-cost records.Support monthly transportation and distribution reporting.Prepare reports covering shipment volumes, delivery performance, transportation costs, exceptions, returns, and service-level compliance.Analyze distribution data to identify trends and operational improvement opportunities.Maintain accurate master data for customers, delivery locations, carriers, routes, products, and transportation requirements.Support implementation and use of barcode scanning, GPS tracking, RFID, route-planning, transportation-management, and automated logistics technologies.Identify opportunities to automate repetitive distribution activities and improve visibility.Ensure distribution activities follow applicable health, safety, environmental, customs, trade, and regulatory requirements.Maintain appropriate documentation for regulated, restricted, fragile, or temperature-sensitive products where applicable.Coordinate with Customs, Freight Forwarding, and Trade Compliance teams for international shipments where required.Support import/export documentation and customs-clearance processes where applicable.Ensure shipments are released only after required approvals and documentation are completed.Monitor delivery capacity during peak periods, promotions, seasonal events, and major business initiatives.Support contingency planning for supply disruptions, transportation delays, weather events, and other operational interruptions.Maintain professional relationships with carriers, logistics providers, warehouse personnel, suppliers, customers, and internal stakeholders.Handle sensitive customer, shipment, pricing, and commercial information appropriately.Support continuous improvement of distribution processes, procedures, systems, and controls.Develop and maintain standard operating procedures, checklists, trackers, and distribution documentation.Perform other logistics and distribution responsibilities fulfillment.Good understanding of the order-to-delivery process.Strong organizational and coordination skills.Excellent attention to detail and data accuracy.Experience tracking shipments and coordinating deliveries.Familiarity with ERP, WMS, TMS, logistics platforms, or carrier portals.Good Microsoft Excel skills.Ability to analyze shipment, delivery, inventory, and transportation data.Understanding of delivery documentation and logistics processes.Strong communication and customer-service skills.Ability to coordinate effectively with carriers, warehouses, customers, suppliers, and internal departments.Strong problem-solving and follow-up capabilities.Ability to manage multiple shipments, deadlines, destinations, and priorities.Familiarity with freight, courier, road transportation, or international shipping processes is advantageous.Knowledge of customs and import/export procedures is advantageous.Experience with route planning, transportation optimization, or logistics analytics is advantageous.Familiarity with Power BI, Tableau, SQL, or other analytical tools is advantageous.High level of integrity and accountability.Ability to work independently and effectively within a fully remote environment.Relevant degree or diploma in Supply Chain Management, Logistics, Transportation, Business Administration, Operations, or a related discipline is advantageous.Professional certifications in logistics, supply chain, transportation, or warehouse management are advantageous.Experience working within UAE or wider GCC distribution networks is highly desirable.
