Document ControllerLocation: Abu Dhabi, UAEAbout The Role The Document Controller is responsible for managing and maintaining all procurement-related documentation, ensuring records are accurate, organized, and easily accessible. The role supports the Procurement team by controlling document flow, maintaining supplier and contract records, and ensuring compliance with company policies and document control procedures.Key ResponsibilitiesMaintain and organize all procurement documentation, including purchase orders, quotations, contracts, supplier records, invoices, and correspondence.Receive, register, track, and archive procurement documents in both electronic and physical filing systems.Ensure all procurement documents are complete, accurate, and properly version-controlled.Maintain procurement logs, document registers, and contract trackers.Coordinate document submissions and approvals with internal stakeholders and external suppliers.Monitor the status of procurement documentation and follow up on pending submissions or approvals.Ensure procurement records comply with company policies and document retention requirements.Maintain supplier files, certifications, agreements, and supporting documentation.Assist the Procurement team in preparing reports, document packages, and audit records.Support tender and RFQ documentation by organizing submissions and maintaining complete records.Retrieve procurement documents upon request and ensure confidentiality of sensitive information.Assist with administrative tasks within the Procurement Department as required.Qualifications & ExperienceDiploma or Bachelor's degree in Business Administration or a related field.2–4 years of document control or administrative experience, preferably within procurement, purchasing, construction, or real estate.Experience managing procurement documentation is an advantage.Familiarity with Microsoft Office applications, particularly Excel and Word.Experience using ERP or document management systems is preferred.Skills & CompetenciesStrong organizational and document management skills.Excellent attention to detail and accuracy.Proficiency in Microsoft Excel, Word, and Outlook.Good communication and coordination skills.Ability to manage multiple priorities and meet deadlines.High level of integrity and confidentiality.Strong administrative and record-keeping skills.
