Apply & track with Apply EdgeJob Purpose:To manage, control, and maintain all technical and administrative documentation related to Design Data Center projects by ensuring proper document registration, distribution, tracking, filing, and retrieval in compliance with company procedures and document management standards. The role supports efficient coordination between internal departments, consultants, contractors, and external stakeholders to ensure accurate and timely document flow throughout project lifecycles.Key Responsibilities:Manage and maintain the document control system for all Design Data Center projects.Ensure proper receipt, registration, tracking, distribution, and filing of all incoming and outgoing documents.Maintain updated records of drawings, technical submittals, reports, RFIs, transmittals, contracts, and correspondence.Coordinate with consultants, contractors, vendors, and internal departments regarding document submissions and revisions.Ensure all documents are reviewed, approved, and distributed in accordance with company procedures and project requirements.Maintain accurate revision control and document status logs.Prepare and issue document transmittals and maintain tracking registers.Ensure all project documentation is archived and easily retrievable.Support the Technical Design team with document-related reporting and status updates.Monitor compliance with document management procedures, standards, and naming conventions.Assist in maintaining EDMS platforms and ensuring data accuracy.Support project audits by providing required documentation and records.Handle confidential and sensitive documentation with professionalism and discretion.Follow up on overdue submissions, approvals, and pending documentation.Coordinate with stakeholders to ensure timely document flow and communication.Attitude & BehavioursProfessional and positive attitude at all times.Strong organizational and multitasking abilities.High level of accuracy and attention to detail.Ability to work under pressure and meet deadlines.Strong interpersonal and communication skills.High level of confidentiality and integrity.Proactive and solution-oriented approach to work.Team player with the ability to coordinate effectively across departments.Adaptable and willing to support operational requirements as needed.Qualifications and Experience:Bachelor’s Degree or Diploma in Business Administration, Document Management, Office Administration, or related field.Minimum 4-5 years of experience in document control roles, preferably within design, engineering, construction, or data center environments.Strong knowledge of document control procedures and records management practices.Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.Proficient in EDMS/document management software.Familiar with ACCE DC management and PMWEB and OracleExperience handling technical drawings and engineering documentation is preferred.Strong written and verbal communication skills in English.Ability to manage multiple priorities efficiently and accurately
