Apply & track with Apply EdgePosition: Document CoordinatorLocation: Makkah, Saudi ArabiaEmployment Type: Full-TimePosition Overview:CSI Global subsidiary ATS is seeking a highly organized and detail-oriented Document Coordinator to support project teams in managing, controlling, tracking, and maintaining project documentation.The successful candidate will ensure that project documents are properly received, reviewed for completeness, distributed to relevant stakeholders, and maintained in accordance with company and project document-control procedures.Key ResponsibilitiesCoordinate the receipt, registration, distribution, and filing of project documents.Maintain accurate document registers, transmittals, logs, and tracking sheets.Ensure all documents are properly coded, numbered, dated, and version-controlled.Coordinate document submissions and ensure timely distribution to project stakeholders.Monitor document status, revisions, approvals, comments, and outstanding actions.Maintain both electronic and physical project documentation in an organized manner.Coordinate with Project Managers, Engineers, Consultants, Contractors, and other stakeholders regarding document submissions and requirements.Prepare and issue transmittals, correspondence, submittals, and document distribution records.Follow up on pending approvals, comments, and overdue document submissions.Ensure superseded documents are properly identified and archived to prevent the use of obsolete information.Maintain project correspondence and records in accordance with established document-control procedures.Support the project team with document retrieval and provide required reports and document-status updates.Assist in preparing periodic document-control reports for project management.Ensure confidentiality, accuracy, and integrity of project information.Perform other document-control and administrative duties as assigned by management.Required QualificationsDiploma or Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.2–4 years of experience in document control, document coordination, or project administration.Previous experience in MEP, construction, engineering, testing & commissioning, or contracting projects is preferred.Good knowledge of document-control procedures and project documentation.Proficiency in Microsoft Office, particularly Excel and Word.Experience with document management systems, EDMS, SharePoint, Aconex, Procore, or similar platforms is an advantage.Good written and verbal communication skills in English.Strong organizational and time-management skills.High attention to detail and accuracy.Ability to work effectively under pressure and meet project deadlines.Preferred SkillsKnowledge of MEP and construction project documentation.Familiarity with technical drawings, specifications, method statements, RFIs, submittals, inspection requests, and other project documents.Ability to manage multiple document workflows simultaneously.Strong follow-up and coordination skills.Ability to work independently as well as part of a project team.Knowledge of document numbering, revision control, and document distribution processes.Key CompetenciesDocument Management & ControlAttention to DetailOrganization & CoordinationCommunication SkillsTime ManagementFollow-up & ReportingMicrosoft Excel & OfficeTeamwork & CollaborationProblem SolvingConfidentiality & ProfessionalismApplication Note: Candidates with experience in MEP, construction, testing & commissioning, or engineering projects are highly preferred.
