This role ensures accuracy, organization, and accessibility of documentation across systems and files while supporting internal teams and external vendors. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities efficiently.ResponsibilitiesRelease Engineering Change Orders (ECOs), Manufacturing Variances (MVs), and pilot documentationPerform data entry and maintain records across SAP, Access, and documentation databasesTrack ECOs and MVs to ensure accurate and timely processingMaintain and organize physical and electronic document files and recordsAssign and log document numbers in accordance with established proceduresVerify document accuracy, including revisions, numbering, and release requirementsFulfill print requests via service window and emailConvert documents into PDF format for network accessManage service calls for equipment and maintain related documentationRecord and submit meter readingsMonitor and maintain paper and toner inventoryCoordinate off-site document storage (Iron Mountain)Collaborate with internal teams and external vendorsExperience Requirements0–2 years of experience in documentation control, administrative support, or a related environmentExperience with SAP and/or database systems preferredProficiency in Microsoft Office (Word, Access, Excel)Strong organizational skills with high attention to detailPhysical Requirements And Working ConditionsAbility to sit for extended periods while working on a computerOccasional standing, walking, and lifting of files or boxes (up to 25 lbs)Office-based role with frequent use of computer systems and printersFast-paced environment requiring multitasking and attention to detailWhy Work for Nova BiomedicalFlexible Medical, Dental, & Vision CoverageCompetitive 401k company matchBonus Program, Generous PTO and paid holidaysGenerous Tuition reimbursementHybrid and flexible work arrangementsProfessional development, engagement and eventsCompany marketplace for lunch and snacks in our Norwood, MA, Billerica, MA and Westbrook, ME officesCompany subsidized cafeteria in our Waltham, MA officeWork Location: On site in Waltham, MATargeted Salary Range: $28–$30/hourNova Biomedical believes in transparency and integrity throughout all we do, including compensation.
