This is a hands-on position requiring professionalism, accuracy, strong follow-through, and excellent communication skills.This is a full-time, in-person position directly with our client. Remote work is not available.Key ResponsibilitiesAnswer and direct incoming phone calls and emailsPrepare and send professional correspondence, documents, and reportsMaintain organized electronic and physical filing systemsAssist with preparing quotes, invoices, purchase orders, and other business documentsEnter and maintain accurate information in spreadsheets and company systemsCommunicate and follow up with customers, vendors, and other business contactsTrack open projects, customer orders, and pending items to help ensure timely completionSchedule appointments, meetings, deliveries, and other business activitiesReview documents and information for accuracy and completenessAssist with billing, recordkeeping, filing, and general office paperworkCoordinate information among management, employees, customers, and vendorsMaintain confidential company, employee, and customer informationAssist management with daily administrative needs and special projectsMonitor deadlines and follow up with the appropriate individuals when action is requiredMaintain an organized, professional, and efficient office environmentQualificationsPrevious experience as an Executive Assistant, Administrative Assistant, Office Coordinator, or in a similar administrative roleStrong written and verbal communication skillsExcellent organizational, time-management, and follow-up abilitiesHigh level of accuracy and attention to detailProfessional and courteous when communicating with customers, vendors, employees, and managementProficiency with Microsoft Office, including Outlook, Word, and ExcelComfortable learning company software and business systemsAbility to prioritize multiple assignments in a fast-paced environmentAbility to work independently while contributing to a close-knit teamSound judgment and the ability to handle confidential information appropriatelyExperience with quotes, invoices, purchase orders, billing, or order tracking is preferredPrinting, manufacturing, distribution, or related industry experience is helpful but not required
