Apply & track with Apply EdgeYou'll keep priorities on track, coordinate across departments (Operations, Finance, HR, Supply Chain, and Administration), and help the General Manager stay focused on leadership and strategy. This role requires sound judgment and discretion with confidential information.Key ResponsibilitiesManage the General Manager's calendar, meetings, travel, and priorities.Coordinate meeting logistics, including agendas, materials, and follow-up on action items.Prepare meeting summaries, correspondence, presentations, and executive reports.Track departmental priorities, deadlines, deliverables, and project milestones, escalating overdue items when appropriate.Gather and consolidate information from different areas to prepare executive summaries, reports, and tracking dashboards.Facilitate communication between departments and identify scheduling conflicts, communication gaps, or process issues for prompt resolution.Organize and file contracts, policies, procedures, and other business records.Support the management of service accounts (e.g., phone, internet), special events, and cross-functional projects assigned by the General Manager.Handle confidential information with professionalism, discretion, and sound judgment.Skills and CompetenciesBilingual in English and Spanish.Ability to manage multiple projects and competing priorities at once.Strong follow-through and sense of accountability.Excellent organizational and time management skills.Solid analytical and reporting skills, including summarizing information from multiple sources.Sound judgment and discretion with confidential information.Proactive and able to work independently with minimal supervision.Strong attention to detail and ability to work effectively with people at all levels.RequirementsExcellent verbal and written communication in English (C1) and Spanish.Bachelor's degree in Business Administration, Business Management, Industrial Engineering, Communications, or a related field preferred.Minimum of three years of experience in executive assistance, business administration, project coordination, or similar support roles.Proficiency in Excel, Outlook, PowerPoint, Teams, and Word.Experience with Power BI or a similar reporting tool preferred.Experience preparing reports, presentations, and executive communications.Flexibility to work outside regular hours and on weekends when business needs require.Availability for occasional travel, with advance notice.Willingness to take on additional responsibilities and support other departments during the low season.What We OfferCompetitive pay (based on abilities and experience).By law benefits.Breakfast and lunch service included.Excellent work environment.Flexible time-off.
