Company: MotoArkABOUT MOTOARKMotoArk is an AI-driven automotive spare parts marketplace with a European presence in Munich, Germany, currently expanding its commercial operations in the UAE.We are looking for a highly organised and proactive Executive & Sales Operations Coordinator to work directly with the CEO while supporting our growing Sales and Operations teams.THE ROLEThis is a hands-on role combining executive coordination, sales operations and customer onboarding.You will help keep management priorities organised while supporting the Sales Team in moving buyers and sellers from initial engagement through account creation, platform demonstrations, onboarding and activation.KEY RESPONSIBILITIES

• Support the CEO with meetings, schedules, priorities and follow-ups.
• Maintain action trackers and follow up with internal and external stakeholders.
• Coordinate activities across Sales, Operations and external partners.
• Support buyer and seller onboarding and account creation.
• Conduct and coordinate MotoArk platform demonstrations.
• Maintain accurate CRM records, pipelines and customer follow-ups.
• Coordinate onboarding documentation, verification and seller activation.
• Track pending accounts, identify blockers and coordinate their resolution.
• Prepare meeting notes, reports and management updates.
• Support general business, HR and administrative coordination when required.WHAT WE’RE LOOKING FOR
• Experience in executive support, administration, sales operations, coordination or customer onboarding.
• Excellent organisation, follow-up and multitasking skills.
• Proactive and able to work independently without constant supervision.
• Confident communicating with customers, partners and senior management.
• Comfortable using CRM systems, Google Workspace and Microsoft Office.
• Detail-oriented and capable of handling confidential information professionally.
• UAE experience is preferred.
• UAE driving licence is an advantage.
• Automotive, marketplace, e-commerce or technology experience is an advantage but not essential.LANGUAGES
• Strong written and spoken English is required.
• Russian proficiency is highly preferred and will be a strong advantage.
• Arabic is an additional advantage.WORKING MODELMotoArk operates a hybrid and flexible working model, including working from home where appropriate and reasonable flexibility in working hours.The role also requires availability for UAE office attendance, customer meetings and occasional field support when needed.
