The person in this role will handle heavy calendar management, coordination, and scheduling as well as expense reports. It will be critical for the person in role to anticipate administrative needs throughout any given day, including the executives busy travel schedules. We’re looking for an experienced executive assistant with the ability to support high level and highly confidential work who has a passion for this type of role.Responsibilities:The ideal candidate is proactive, highly organized, and excels at time management, thriving in a fast-paced environment with changing priorities.Manage two Senior Executives’ calendars, including scheduling, and confirming meetings and conference callsArrange comprehensive international travel plans by coordinating all logistics, including booking flights, updating itineraries, making restaurant reservations, and organizing transportation, where neededCoordinate logistics for executive visitors, including booking meeting rooms and handling hospitality needsHandle expense reports, authorizations, and approvals in accordance with company policies and proceduresCollaborate with the global team and other executives to take detailed meeting notes, capture action items, and ensure tracking and completion of deliverables with team members, where neededScreen incoming requests and correspondence, through email, phone calls, and additional CRM platforms while prioritizing based on urgencyLiaise with internal and external stakeholders, including clients and business associates, at all levelsMaintain organized filing system to ensure efficient document managementGather, compile, and analyze information for letters, reports, presentations, and other executive communicationsSupport special projects as neededRequirements:3+ years of executive assistant experience supporting C-level executivesAbility to work under pressure in a dynamic, fast-paced environmentQuick learner with the ability to adapt to new tasks, systems, and changing prioritiesHigh level of discretion in handling confidential informationStrong communication skills, including drafting messages, note-taking, action item tracking, and follow-throughThis role requires travel and flexibility to adjust to changing plans as neededStrong interpersonal skills and ability to build rapport quickly and collaborateProven experience in managing multiple tasks and meeting deadlines with accuracyA proactive, customer service-oriented mindset, with a strong sense of teamworkDemonstrated professionalism and strong professional etiquetteAbility to adjust to changing priorities and schedules with ease
