Executive Assistant, Scheduling & Logistics to Leading CEO | Onsite in Beverly HillsWe're looking for an Executive Assistant with 2+ years of experience whose superpower is calendaring. This role owns the day-to-day scheduling and logistical backbone for a fast-paced CEO - a heavy, high-volume calendar that requires someone who is always thinking 10 steps ahead, spotting conflicts before they happen, and building in buffer, travel time, and contingencies without being asked.This is a fast-paced, detail-obsessed role within a creative organization. The right person is calm under pressure, moves fast, and treats the calendar like a living, breathing thing that needs constant tending - not a static list of appointments.What You'll DoOwn and manage a high-volume, fast-changing calendar across professional and personal commitmentsProactively identify scheduling conflicts, gaps, and inefficiencies before they become problemsBuild in realistic buffer time, travel time, and prep time around every meeting - anticipate what the Principal will need before, during, and afterCoordinate complex, multi-party scheduling across internal teams, external partners, and personal contacts, often across time zonesManage day-of logistics: confirming locations, sending reminders, prepping materials, coordinating transportationTriage and prioritize competing scheduling requests in real time, using strong judgment about what matters mostKeep meeting agendas, prep docs, and follow-ups organized so nothing falls through the cracksCommunicate schedule changes clearly and quickly to all relevant stakeholdersPartner closely with the Personal Assistant and other support staff to keep professional and personal logistics in syncMaintain a working knowledge of the Principal's priorities, relationships, and preferences well enough to make smart scheduling calls independentlyWhat You Bring2+ years of experience as an Executive Assistant or in a high-volume coordination roleA track record of managing complex, ever-changing calendars for a busy executive or principalSharp anticipation skills - you naturally think several moves ahead and plan for what could go wrongExcellent judgment and the ability to prioritize and make decisions independently under time pressureStrong communication skills, both written and verbal, with a professional and polished toneComfort with ambiguity and last-minute changes; you stay calm and adaptable when plans shiftHigh attention to detail - nothing slips throughDiscretion and trustworthiness around confidential and sensitive informationProficiency with calendar and scheduling tools (Google Calendar, Calendly, etc.) and general tech fluencyPlease submit a resume to be considered.
