The successful candidate will be responsible for managing complex calendars, coordinating meetings and appointments, handling internal and external correspondence, and supporting business travel arrangements and executive engagements. The Executive Assistant will act as a key point of contact for internal and external stakeholders, ensuring effective communication, confidentiality, and smooth day-to-day operations. The role requires excellent attention to detail, strong communication and interpersonal skills, sound judgment, and the ability to manage multiple priorities in a fast-paced and dynamic environment while maintaining the highest standards of professionalism and service.Responsibilities:Maintains an up-to-date calendar for their team including but not limited to meetings, events, interviews, business trips and appointments.Screens documents, books meeting rooms, sets up conference calls and takes messages as requested.Handles incoming/outgoing correspondence and responds to emails that may not require their line manager’s attention.Receives and directs visitors in a professional and courteous manner.Facilitates communication amongst business units senior management, employees as well as external stakeholders and provides support as an when required.Follows-up with internal and external individuals/teams on important meetings, tasks, documents and deadlines and ensure stakeholders are updated accordingly.Attends meetings as directed and prepares minutes of meeting as required.Prepares and updates documents including, circulars, communication, correspondence, reports, drafts, memos and emails.Makes travel arrangements including detailed travel plans, itineraries and agendas and compiles documents for travel-related meetings.Provides general administrative and clerical support including mailing, scanning and photocopying.Manages and maintains electronic and hard copy filing system.Maintains the levels of office and IT supplies and place appropriate orders in coordination with the relevant department.Prepares expense forms/claims and submits billing information in coordination and follow-up with the finance team.Cultivate a sustainable work environment, office space and meeting rooms, that is available 365 days, where employees can do their daily tasks in an efficient, secure and smooth way.Ensure the high quality and consistency of the look and feel of the office space including furniture, assets and supplies following their maintenance schedule.Contributes towards an innovative culture of continuous improvement for enhancing operational efficiency and effectiveness.Actively identifies and manages risks, seizing potential lost opportunities and contributing to a culture of continuous improvement.Connects values, strategies, and actions to create cohesion between behaviors and tasks in line with the M42 values.Adopts methods, processes and behaviors to guide interactions that cultivate trust, build reciprocal relationships, and improve communication between internal and external stakeholders.Delivers personalized services based on individual needs, preferences, and values through caring attitudes and compassionate communication to encourage individual and group engagement and satisfaction.Uses evidence to drive improvement and create measurable change.Communicates effectively with team members and maintains good inter-functional liaison to ensure smooth implementation of operational activities.Communicates applicable regulatory requirements in a timely and clear manner within the division.Qualifications and Experience : Bachelor Degree in Business Administration or equivalent5+ years of senior administrative assistant experience/ 2+ years of PA experience to CXO levelAbility to think critically and maintain a high level of confidentialityStrong verbal and written communication skillsAnalytical and problem-solving skillsProficiency with Microsoft Office suiteFluency in written and spoken English
