They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.ResponsibilitiesCalendar & Travel Management: Expert ability to coordinate complex executive schedules, adjust for conflicting time zones, and manage multi-leg international travel itineraries.Software Proficiency: Advanced skills in Microsoft Office 365 or Google Workspace, meeting platforms (Zoom, Microsoft Teams), and expense tracking tools (SAP).Meeting Preparation: Proficiency in organizing executive board meetings, drafting detailed agendas, capturing accurate action-item minutes, and building slide decks.Information & Document Management: Experience organizing confidential digital filing systems, drafting official correspondence, and processing expense reports accurately.Discretion & Integrity: A proven record of handling highly sensitive corporate, financial, and personal information with utmost confidentiality.Executive Presence & Communication: Exceptional written and verbal communication skills to represent the executive professionally to internal and external stakeholders.Proactive Problem-Solving: Ability to anticipate executive needs, manage shifting priorities, and resolve logistical bottlenecks independently.Time Management & Organization: Strong organizational skills to manage competing priorities, tight deadlines, and unexpected schedule changes seamlessly.QualificationsBachelor's degree or equivalent experience3 to 5+ years supporting senior executives, department directors, or C-suite leadership.Proficient in Microsoft Office suiteExperience in managing multiple priorities, administrative coordination, and logisticsWell-organized, detail-oriented, ability to multi-task with great follow-up skillsStrong written and verbal communication skills
