Apply & track with Apply EdgeLocation: SingaporeEmployment Type: Full-TimeSalary Range: Depending on experienceFresh graduates are welcome to applyAbout the RoleWe are looking for a responsible, detail-oriented and proactive Executive Assistant to provide day-to-day executive support and assist with the company’s operations, HR administration and event management.This is a hands-on role suitable for someone who enjoys working in a dynamic environment, is comfortable handling a variety of tasks, and takes ownership of getting things done.The successful candidate will work closely with the CEO’s Office and provide direct support to the CEO office.Key Responsibilities1. Executive & Project SupportProvide day-to-day administrative and execution support to the CEO’s Office.Assist with assigned projects and follow up on outstanding tasks and deadlines.Prepare documents, presentations, meeting materials and simple research when required.Coordinate meetings, appointments and internal/external communications.Take meeting notes and follow up on agreed action items.Maintain proper filing, documentation and records.Assist with ad-hoc projects and assignments as required.2. HR & Office OperationsSupport basic HR administration, including employee records, leave matters, onboarding and offboarding.Assist with recruitment, including job postings, CV screening and interview coordination.Support general office administration and daily operational matters.Liaise with vendors, suppliers and external service providers.Assist with procurement, quotations and expense-related administrative matters.Help maintain and improve internal SOPs, checklists, templates and working processes.3. Event Planning & ExecutionAssist in planning and executing company, client and private events.Coordinate venues, catering, photography, gifts, event materials and other vendors.Maintain guest lists, invitations, RSVPs and attendance records.Prepare event timelines, checklists, seating arrangements and logistical plans.Support venue setup, registration and on-site event coordination.Follow up on post-event matters including feedback, photos, records and action items.Work with the team to continuously improve event SOPs and execution standards.RequirementsDiploma or Bachelor’s Degree in any discipline.Fresh graduates are welcome; candidates with 1–2 years of experience in administration, operations, events, HR or executive support will have an advantage.Good written and spoken English and Mandarin.Proficient in Microsoft Office, including Word, Excel and PowerPoint.Strong organizational and time-management skills.Detail-oriented and able to follow through on tasks independently.Responsible, reliable and willing to take ownership of assigned work.Comfortable managing multiple tasks and priorities.Good interpersonal and communication skills.Able to work in a fast-paced and occasionally changing environment.Willing to provide on-site support for events when required.What We Are Looking ForThe ideal candidate is someone who:Does not wait to be reminded repeatedly;Can take an instruction, clarify what is needed and follow through until completion;Is careful with details and deadlines;Is willing to handle both important projects and routine operational tasks;Communicates proactively when there are issues or delays;Has a positive attitude and is willing to learn;Can gradually take on greater responsibility as he or she becomes familiar with the role.What You Will GainDirect exposure to senior management and the CEO’s Office;Hands-on experience in company operations, HR, events and project coordination;Opportunities to participate in family office, client and business-related projects;Broad exposure across different areas of business operations;Opportunity to grow into a more independent operations, project management or executive support role over time.
