This role is ideal for someone who anticipates needs, takes initiative, communicates confidently, and thrives in a fast-paced, ever-changing environment.POSITION OVERVIEWThis is not a traditional administrative assistant position. We are looking for a true right hand to the CEO-someone who thinks ahead, solves problems, communicates confidently, and keeps projects, people, and priorities moving forward. You will be a trusted partner, supporting executive leadership and assisting across multiple areas of the organization.* WHO WE'RE LOOKING FORThe strongest candidate will be someone who is:• Highly organized and naturally good at keeping other people organized• Proactive and consistently thinking two or three steps ahead• Comfortable working closely with a CEO in a high-trust role• Able to take a broad idea and figure out the steps needed to make it happen• Confident enough to ask questions, make recommendations, and take initiative• An excellent written and verbal communicator• Comfortable speaking publicly and leading small groups or meetings• Skilled at coordinating people, schedules, projects, and details• Adaptable and able to shift priorities without becoming overwhelmedSCHEDULEThis is a part-time position averaging 10-20 hours per week, primarily Mondays and Wednesdays, with flexibility to assist for limited hours on Tuesdays and Thursdays as needed.Some flexibility around major events will also be important.KEY RESPONSIBILITIES• Reliable, responsive, and strong with follow-throughExecutive & Administrative Support• Professional and comfortable interacting with executives, donors,• Manage the CEO's schedule, appointments, meetings,community partners, volunteers, clients, students, and board memberspriorities, and follow-up• Able to exercise good judgment and maintain confidentiality• Prepare meeting materials, agendas, correspondence,• Collaborative, positive, resourceful, and solutions-orienteddocuments, and presentations• Someone who notices what needs to be done and does not• Attend meetings, take clear and actionable notes, andrequire constant directiontrack follow-up items• Schedule appointments and coordinate internal and• Manages up-comfortable helping the CEO prioritize, make decisions, and stay focusedexternal meetings• Maintain organized digital files and administrative systems• Solves problems independently and brings solutions,• Help protect the CEO's time by anticipating needs andnot just problemskeeping priorities organized• Detail-oriented without being rigid; able to adapt when plans change• Turn conversations into action-identify next steps, owners, deadlines, and ensure follow-throughOperations & Leadership Support• Think ahead and identify what needs to happen next• Assist the CEO across multiple areas of organizational operations• Lead or facilitate meetings when appropriate• Oversee and coordinate intems, volunteers, and special projects• Communicate assignments clearly and follow up toTECHNOLOGY SKILLSCandidates should be highly comfortable with:• Google Drive, Docs, Sheets, Forms, Calendar, and Gmail• Microsoft Word, Excel, PowerPoint, and Outlook• Digital calendars, shared documents, spreadsheets, and project-tracking systems• Learning new technology and organizational platforms quicklyensure completion• Help develop systems and processes that make the organization more efficient•Step into gaps when needed and help solve problems quicklyEvents, Donors & Community Engagement• Assist with event planning, logistics, setup, communication, and executionWHAT SUCCESS LOOKS LIKEYou will know you're succeeding in this role when the CEO doesn't have to remember everything because you are helping create the systems that remember it for her.
