The successful candidate will manage a demanding schedule, communications, travel, wardrobe needs, purchasing, and daily priorities while coordinating closely with design, marketing, sales, finance, and operations. The role requires excellent judgment, calm problem-solving, confidentiality, and an understanding of the pace of luxury fashion.About the RoleThe Executive Assistant will provide comprehensive support to the CEO, ensuring smooth operations and effective communication across various departments.ResponsibilitiesManage the calendar, meetings, fittings, photoshoots, events, appointments, and daily priorities.Prepare schedules, reminders, briefing notes, correspondence, and follow-up lists; ensure important requests receive timely attention.Serve as a professional liaison with employees, executives, vendors, buyers, stylists, press, and business partners.Maintain organized files, contacts, and confidential records while protecting personal and company information.Track open items, deadlines, responsible parties, and approvals; escalate urgent, financial, legal, or employee matters appropriately.Coordinate fittings, collection reviews, fabric appointments, market meetings, campaign shoots, Fashion Week, launches, and special projects.Communicate the CEO's feedback and priorities clearly to the appropriate teams and follow through on completion.Arrange domestic and international travel, including flights, hotels, transportation, reservations, itineraries, documents, wardrobe, and samples.Coordinate styling, tailoring, wardrobe preparation, and reasonable last-minute schedule changes.Assist with authorized business and personal credit-card purchases, maintain transaction records, and upload itemized receipts promptly.Review activity regularly, separate business and personal expenses, and assist with monthly reconciliation.Make approved clothing, accessory, beauty, travel, gift, and other purchases on behalf of the Founder.Track retailer, amount, payment method, delivery status, return deadline, and final disposition for every clothing purchase.Coordinate deliveries, exchanges, alterations, pickups, and returns; verify that refunds and store credits are received.Follow up on missing, delayed, damaged, duplicate, fraudulent, or incorrectly credited transactions.Track company samples and borrowed items and ensure they are returned to the company or outside party when required.Obtain written approval before exceeding budgets or committing company funds. Cards may not be shared or added to another person’s digital wallet without written authorization.Qualifications3-5 years supporting a founder, designer, creative executive, or senior leader; fashion or luxury experience strongly preferred.Exceptional organization, discretion, attention to detail, communication, and follow-through.Ability to manage changing priorities calmly in a fast-paced creative environment.Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, calendars, and expense-management platforms.Flexible availability during travel, Fashion Week, photoshoots, launches, and peak periods.Valid passport and ability to travel domestically and internationally when required.Required SkillsExceptional organization and attention to detail.Strong communication skills.Ability to manage multiple tasks and priorities.Proficiency in Microsoft Office Suite.Preferred SkillsExperience in the fashion or luxury industry.Familiarity with expense-management platforms.Pay range and compensation packageCompensation commensurate with experience.Equal Opportunity StatementWe are committed to diversity and inclusivity in our hiring practices and encourage applications from all qualified individuals.
