A high degree of maturity, judgment and confidentiality is essential.Key ResponsibilitiesManage the Founder’s professional and personal calendar, meetings, appointments, commitments and important dates.Maintain a clear view of daily, weekly and monthly priorities and ensure important matters do not fall through the cracks.Anticipate scheduling conflicts, deadlines and upcoming requirements before they become urgent.Prepare the Founder for meetings with relevant briefs, documents, presentations and context.Maintain a comprehensive tracker of tasks, decisions, instructions and follow-ups.Follow up with internal teams and external stakeholders until pending matters are fully closed.Escalate delays, blockers and issues requiring the Founder’s attention at the appropriate time.Coordinate with department heads across PR, Social Media, Brand, Digital Marketing, Business Development, HR and Operations.Prepare meeting agendas, Minutes of Meeting (MoMs), action points and follow-up trackers.Coordinate important client meetings, proposals, presentations, pitches and Founder-level follow-ups.Track key business development opportunities, proposals, meetings and pending decisions.Conduct research on brands, founders, prospective clients, competitors, events, partnerships and other business opportunities.Prepare concise research summaries and briefing notes to support quick decision-making.Assist with presentations, reports, documents and other business material.Coordinate professional and personal travel, including flights, hotels, transportation, itineraries and related requirements.Manage personal appointments, reservations, bookings, gifting, renewals, deliveries and other time-sensitive requirements.Coordinate with household staff, drivers, vendors, consultants and service providers where required.Maintain organised records, confirmations, documents and information across professional and personal matters.Handle sensitive company and personal information with complete confidentiality and discretion.What We Are Looking For3–6 years of relevant experience as an Executive Assistant, Personal Assistant, Founder’s Office professional or in a similar high-responsibility role.Prior experience directly supporting a Founder, CEO, CXO or senior leader is strongly preferred.Experience in a marketing, PR, advertising, media, communications, startup or other fast-paced environment would be an advantage.Exceptional organisation, prioritisation and time-management skills.Excellent written and verbal communication.Strong follow-through and the ability to take responsibilities from instruction through to closure.Highly proactive, with the ability to anticipate requirements rather than wait for repeated instructions.Strong judgment and the ability to distinguish between what can be handled independently and what requires escalation.Comfortable following up firmly and professionally with senior employees, clients and external stakeholders.Ability to manage multiple professional and personal priorities simultaneously.Strong research, documentation and presentation skills.High degree of maturity, discretion and confidentiality.Resourceful and solution-oriented when dealing with unexpected situations.Strong working knowledge of Microsoft Office 365, Outlook, Teams, Excel/Google Sheets, PowerPoint and task/project management tools.Must be comfortable working full-time from the Mumbai office.The Person We WantYou will likely do well in this role if you are someone who:Remembers what is pending without needing to be reminded.Notices what is about to become a problem and addresses it early.Understands urgency without treating everything as urgent.Follows up until something is actually done, rather than considering the job complete once a reminder has been sent.Can take incomplete information, organise it and determine the next step.Is comfortable managing both professional and personal responsibilities.Communicates confidently with senior stakeholders without overstepping.Knows when to make a judgment call and when to seek approval.Maintains clear written records rather than relying solely on memory.Is exceptionally careful with confidential information.Can bring structure and organisation to priorities that may change quickly.Authority & JudgmentThe Executive Assistant will act as an extension of the Founder for coordination, communication, scheduling, follow-ups, information gathering and execution tracking.The role comes with significant access and responsibility, but does not carry independent authority to make company policy, HR, financial, compensation, hiring, termination or strategic decisions unless specifically authorised.Strong judgment is essential. Where authority is unclear, the expectation is to escalate rather than assume.What Success Looks LikeSuccess in this role means the Founder should not have to repeatedly ask:“Did we follow up on this?”“Where does this stand?”“Did someone respond?”“What happened with that meeting?”“Was this booked?”“Did this get done?”The objective is to create a Founder’s office where priorities are organised, information is accessible, commitments are remembered, follow-ups happen on time and important matters reach closure.This is a high-trust, hands-on role for someone who takes genuine ownership and is comfortable managing both business and personal responsibilities with maturity, discretion and sound judgment.
