The EA will work closely with the Founder across internal coordination, meetings, follow-ups, client and business matters, travel, personal commitments and day-to-day logistics.We are looking for someone who can anticipate requirements, maintain visibility across multiple priorities, follow through until matters are closed, and exercise sound judgment about when to act independently and when to escalate.Key ResponsibilitiesManage the Founder’s professional and personal calendar, meetings, appointments and priorities.Maintain structured trackers for tasks, instructions, decisions, deadlines and follow-ups.Follow up with internal teams and external stakeholders and ensure pending matters reach closure.Coordinate with department heads across PR, Social Media, Brand, Digital Marketing, Business Development, HR and Operations.Prepare meeting agendas, briefs, Minutes of Meeting (MoMs) and action trackers.Coordinate client meetings, pitches, proposals, presentations and important Founder-level follow-ups.Track key business opportunities, meetings, proposals and pending decisions.Conduct research on brands, prospective clients, founders, competitors, events and partnerships.Prepare concise research summaries and briefing notes for the Founder.Assist with presentations, reports, documents and other business material.Coordinate professional and personal travel, including flights, hotels, transportation and itineraries.Manage personal appointments, bookings, reservations, gifting, renewals and other time-sensitive requirements.Coordinate with vendors, service providers, household staff, drivers and personal contacts when required.Anticipate upcoming deadlines, requirements and potential scheduling conflicts.Maintain organised records and documentation across professional and personal matters.Handle sensitive company and personal information with complete confidentiality and discretion.What We’re Looking For3–4 years of relevant experience as an Executive Assistant, Personal Assistant, Founder’s Office professional or in a similar role.Prior experience directly supporting a Founder, CEO, CXO or senior leader is strongly preferred.Experience in marketing, PR, advertising, media, communications, startups or another fast-paced environment is preferred.Exceptional organisation, prioritisation and time-management skills.Strong written and verbal communication.Excellent follow-through and task-closure ability.Highly proactive, with the ability to anticipate requirements rather than wait for instructions.Strong judgment and an understanding of when to act independently and when to escalate.Comfortable coordinating and following up with senior employees, clients and external stakeholders.Comfortable managing both professional and personal responsibilities.Strong attention to detail, research and documentation skills.High degree of maturity, discretion and confidentiality.Resourceful and solution-oriented.Proficiency in Microsoft Office 365, Outlook, Teams, Excel/Google Sheets, PowerPoint and task/project management tools.Who Will Do Well in This RoleWe are looking for someone who takes genuine ownership and does not need repeated reminders to close pending matters.You should be someone who stays ahead of deadlines, remembers commitments, anticipates what may be needed next, follows up until something is actually done and can bring structure to a fast-moving Founder’s office.You should also be comfortable operating with significant access and responsibility while understanding the boundaries of the role and knowing when the Founder’s approval is required.What Success Looks LikeThe Founder should have clear visibility across priorities without having to repeatedly ask where things stand.Success means meetings are prepared for, commitments are remembered, follow-ups happen on time, information is organised, travel and logistics run smoothly, important issues are escalated appropriately, and tasks are taken through to closure.This is a high-trust role involving both business and personal management, requiring exceptional ownership, judgment, discretion and reliability.To ApplyPlease apply through LinkedIn with your updated CV.
