Investment Banking Latin America Coverage Team | São PauloRole OverviewWe are seeking a highly organized, proactive, and resourceful Executive Assistant to support our Investment Banking Latin America Coverage team based in São Paulo. This role will serve as a trusted partner to senior bankers, providing high-level administrative and operational support to Managing Directors, Executive Directors, Senior Vice Presidents, Vice Presidents, and the broader coverage team. The Executive Assistant will work closely with the São Paulo office's Executive Assistant team and interact regularly with stakeholders across the Americas, Europe, and Asia.The ideal candidate thrives in a fast-paced, high-performance environment, demonstrates exceptional judgment and discretion, and can anticipate the needs of senior executives while managing multiple priorities seamlessly.Key ResponsibilitiesExecutive SupportProvide comprehensive executive support to senior Investment Banking professionals, including Managing Directors, Executive Directors, Senior Vice Presidents, and Vice Presidents.Manage complex and constantly changing calendars, prioritizing competing requests and ensuring efficient time management.Coordinate internal and external meetings across multiple time zones, including client meetings, management presentations, and leadership discussions.Arrange complex domestic and international travel itineraries, including flights, accommodations, visas, ground transportation, and contingency planning.Process, monitor, and reconcile expense reports in accordance with firm policies and deadlines.Prepare meeting materials, agendas, briefing documents, and logistical support for executive meetings and client engagements.Monitor and help manage executive inboxes, ensuring timely responses and appropriate escalation of critical matters.Strategic Coordination & Executive PartnershipAct as a trusted liaison between senior executives, clients, and internal stakeholders.Anticipate executive needs, proactively identify scheduling conflicts, and recommend solutions.Manage changing priorities and urgent requests while maintaining a high level of professionalism and confidentiality.Support senior leadership with administrative coordination related to business development activities, client events, and strategic initiatives.Track action items, deliverables, and deadlines on behalf of senior executives to ensure effective follow-through.Office & Team SupportServe as a key point of contact for clients, visitors, and internal stakeholders.Coordinate logistics for investor meetings, client presentations, leadership visits, and team events hosted in the São Paulo office.Partner with local and global administrative teams to ensure seamless support coverage.Assist with office operations, supplies, facilities coordination, and administrative procedures as needed.Support onboarding logistics for new team members and visiting bankers.Required QualificationsBachelor's degree preferred; equivalent professional experience will be considered.5+ years of Executive Assistant experience supporting senior executives in a corporate, financial services, consulting, legal, or other fast-paced professional environment.Demonstrated experience supporting multiple senior stakeholders simultaneously.Strong written and verbal communication skills in Portuguese and English; Spanish is a plus.Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, and Teams.Proven ability to manage highly complex calendars and international travel arrangements.Exceptional organizational, prioritization, and multitasking skills.Strong professional judgment and ability to handle confidential and sensitive information.Ability to work independently, anticipate needs, and deliver results with minimal supervision.Preferred QualificationsPrior experience supporting senior leaders within Investment Banking, Capital Markets, Private Equity, Asset Management, Consulting, or Professional Services.Experience supporting Managing Directors, Partners, C-suite executives, or equivalent senior leadership.Familiarity with global calendar management and supporting executives across multiple time zones.Strong client-facing skills and professional presence.Experience coordinating executive meetings, client events, and leadership offsites.Ability to thrive in a high-performance, deadline-driven environment.Spanish language proficiency is a plus.
