Executive Assistant / Operations CoordinatorEssential Land CompanyRole Title Executive Operations CoordinatorLocation RemoteEngagement Type Independent Contractor (Part Time)Pay Range $28-$42/hr THE ROLEThis is an execution role.The Executive Operations Coordinator functions as the operational backbone of the Principal and the organization. The day-to-day reality is hands-on: managing calendars, coordinating tasks, processing information, reminding team members to do tasks, following up to make sure tasks are done, and ensuring nothing falls through the cracks. At the same time, the right person brings genuine critical thinking to the role; they anticipate things that might become an issue and point it out. We do not want someone who does not like scheduling, task management, and administrative work, we want someone who takes pride in doing these things exceptionally well and never needs to be reminded, while also being sharp enough to think several steps ahead. If you need to be managed, reminded, or given motivation to do the foundational administrative work, this role is not the right fit. If you find deep satisfaction in keeping a complex operation running by keeping everyone else organized, we want to hear from you.CORE RESPONSIBILITIESProject & Operations SupportBe the key person who owns and keeps track of all tasks that each team member is responsible for, remind team members daily to do their tasks, get confirmation each task is doneHelp keep the Managing Partner focused on the highest priority tasks instead of getting side-tracked by lower importance administrative tasksBuild and maintain task tracking systems and workflowsLiaise with vendors, consultants, and service providers; hold them accountable to deliverablesCommunicate clearly and confidently with internal team members, external stakeholders, vendors, and service providersKnow the status of every task at all times and be able to report the status to the Managing PartnerExecutive & Calendar ManagementOwn and manage the Managing Partner’s calendar across time zones Prepare agendas for internal and external meetings; keep track of agenda items from meeting to meetingTrack action items from meetings and follow up independently to ensure completionAnticipate scheduling conflicts before they occur and resolve them without promptingDocument & Information ManagementMaintain organized digital filing systems, information must be easy to find and always currentReview all documents for errors, inconsistencies, and completeness before they reach the Managing Partner QUALIFICATIONSRequired3+ years of experience as an Executive Assistant or equivalent operational support role Ability to work autonomously and make sound decisions without constant directionExceptional written and verbal English communication skillsStrong command of Google Workspace, Microsoft Office, and pdf editingStrongly PreferredFamiliarity with basic financial tracking, invoicing, or expense managementBackground conducting research and synthesizing information into clear briefs or summaries CORE COMPETENCIESCritical Thinking You analyze situations and solve problems independently before escalating.
