Department: CEO Office / Business OperationsDO NOT APPLY IF YOU DO NOT HAVE REAL ESTATE EXPERIENCEAbout the RoleWe are looking for a highly organised, proactive and detail-oriented Executive Assistant to the CEO to provide comprehensive support to the CEO across business operations, sales, recruitment, reporting, administration and strategic planning.The role requires someone who can work independently, manage multiple priorities, maintain confidentiality and ensure that key tasks and follow-ups are completed efficiently.Key ResponsibilitiesCEO & Executive SupportManage the CEO’s daily priorities, schedules, meetings and appointments.Coordinate meetings and follow-ups with clients, developers, investors, consultants and business partners.Prepare documents, presentations, emails, reports and other business correspondence.Track important tasks, deadlines and pending matters and ensure timely follow-up.Handle confidential and sensitive business information with discretion.Act as a key point of coordination between the CEO and internal/external team.Business Operations & ReportingPrepare daily, weekly and monthly business reports.Maintain performance trackers and analyse results to identify trends and areas requiring attention.Prepare weekly strategies and follow-up plans based on previous performance and upcoming priorities.Monitor ongoing projects, transactions, leads and operational activities.Assist the CEO in organising and streamlining business processes.Conduct research and prepare summaries to support business and investment decisions.Real Estate OperationsAssist with research and analysis of Dubai real estate projects, developers, launches, payment plans and market opportunities.Coordinate with developers, agents, clients and other stakeholders.Assist with property-related documentation, listings, presentations and sales materials.Track project handover timelines, pricing, payment plans and other relevant project information.Support the CEO in evaluating potential property and business opportunities.Sales & Lead ManagementMonitor lead pipelines and follow-up activities.Coordinate with sales teams regarding leads, client requirements and pending opportunities.Track sales performance and assist in identifying opportunities for improvement.Support preparation of sales strategies, targets and follow-up plans.Assist in monitoring transactions from initial enquiry through to completion.Recruitment & Team SupportAssist the CEO with recruitment of real estate agents, team leaders and other personnel.Coordinate with HR consultants and recruitment agencies.Schedule interviews and maintain candidate information.Assist with interview preparation, evaluation and follow-up.Support onboarding and administrative requirements for new team members.Marketing & Business DevelopmentAssist with preparing property marketing materials and sales presentations.Coordinate property listings and promotional content.Research potential business opportunities, partnerships and market developments.Support the CEO with business development initiatives and client presentations.Key Skills & RequirementsPrevious experience as an Executive Assistant, Personal Assistant, Business Coordinator, Operations Executive or similar role is preferred.Strong organisational and time-management skills.Excellent written and verbal communication.Strong proficiency in Microsoft Office / Google Workspace and Excel.Ability to prepare professional reports, presentations and business documents.Strong follow-up and coordination skills.Ability to manage multiple priorities in a fast-paced environment.Strong attention to detail and problem-solving ability.Professional handling of confidential information.Ability to work independently and take initiative.Knowledge of the Dubai real estate market is highly advantageous.Ideal CandidateThe ideal candidate is someone who doesn't wait to be told what needs to be done.
You should be able to identify priorities, follow up proactively, organise information, solve problems and keep the CEO updated.You will be expected to operate as an extension of the CEO's office, ensuring that important tasks, people, information and deadlines are properly coordinated.A minimum of 2 years of experience in Administration or real estate executive Assistant.
