Follow up on emails on behalf of the CEO.Initiate new email chains and manage correspondence on the CEO's behalf.Organize and maintain the CEO's calendar.Schedule internal and external meetings on behalf of the CEO.Keep track of the CEO's daily schedule and priorities.Send reminders to the CEO at least 30 minutes before every scheduled meeting.Participate in meetings on behalf of the CEO when assigned.Conduct daily sign-in calls with the CEO to provide updates and discuss ongoing tasks.Register the CEO for relevant US events, conferences, networking events, and business activities as assigned.Research relevant vendor networking and business events and coordinate the CEO's registration.Book flights and hotels for the CEO through the designated Orbitz portal.Register the company on relevant US vendor and supplier portals.Register the company on MBE portals.Apply for MBE certifications in different US states as assigned.Manage and complete other company registrations and certifications as assigned by the CEO.Maintain records of company registrations, certifications, documents, and renewal dates.Take responsibility for the timely renewal of expired or expiring company documents.Assist with RFP documentation by providing and compiling accurate company information.Conduct research and complete registration-based tasks as assigned by the CEO.Collaborate with US educational institutions for internship and paid training opportunities as assigned.Communicate and follow up with external organizations, vendors, institutions, and other stakeholders as required.Independently handle tasks and special projects assigned by the CEO from initiation through completion.Maintain confidentiality of the CEO's and company's business information.Perform all other company-related tasks and responsibilities as assigned by the CEO.
Requirements
Prior US work experience or direct experience working with US-based clients, executives, companies, or organizations is required.Bachelor's degree in Business Administration, Management, Operations, or a related field preferred.2–5 years of relevant experience in Executive Assistance, Executive Operations, Business Administration, or a similar role.Excellent written and verbal English communication skills.Strong professional email drafting and follow-up skills.Excellent organizational and time-management skills.Strong research and internet-navigation skills.Proficiency in Google Workspace and/or Microsoft Office.Ability to manage multiple tasks, deadlines, and priorities simultaneously.Strong attention to detail and accuracy.Ability to work independently with minimal supervision.Strong ownership, accountability, and problem-solving skills.Professional, discreet, and comfortable working directly with senior leadership.Important: Candidates without prior US work experience or direct experience working with US-based clients/executives will not be considered.
