Under the direction of its CEO and Directorof Arts and Culture, ONE Carmel is developing a program of exhibitions, performances, artistresidencies, and gatherings that connect the community to the creative life of the MontereyPeninsula and beyond.About the roleWe are seeking an experienced Executive Assistant to support James Pihakis in his dual role asCEO and Director of Arts and Culture. This is a high-trust, high-autonomy position for someonewho anticipates needs before they are spoken, manages a demanding calendar with judgmentrather than just availability, and handles confidential matters with complete discretion. You will sitat the intersection of a real estate business, a cultural program, and a small, fast-movingleadership team, and you will be the operational center that keeps all three in motion.What you will doExecutive support
- Own the CEO's calendar end to end: prioritize competing requests, protect focus time, andresolve conflicts proactively.
- Manage inbox triage and correspondence, drafting replies in the CEO's voice and flagging whatneeds his attention.
- Coordinate domestic and international travel, including itineraries, changes on the fly, andexpense reconciliation.
- Prepare briefing materials for meetings with homeowners, investors, partners, and civicstakeholders; capture action items and follow through on them.

- Coordinate logistics for exhibitions, performances, salons, artist residencies, and communityevents on the property, from vendor contracts to day-of run-of-show.
- Maintain relationships and correspondence with artists, galleries, curators, museums, andcultural institutions across the Monterey Peninsula and the Bay Area.
- Track program budgets, invoices, loan agreements, and insurance for artworks andinstallations.
- Manage guest lists, invitations, RSVPs, and hospitality for cultural gatherings and privateevents.
- Keep the program calendar, contact database, and archive of press, photography, and programmaterials current and organized.Office and projects
- Build and maintain the systems (CRM, filing, document management) that keep the executiveoffice organized.
- Handle light bookkeeping, purchasing, and vendor coordination for the executive office.
- Take on special projects and a limited amount of personal administrative support for the CEOas needed.What we are looking for
- 5+ years supporting a C-level, founder, or principal, ideally in real estate, hospitality, a familyoffice, or an arts and cultural organization.
- A real interest in art, design, music, or culture, and comfort moving between a boardroom and agallery opening in the same afternoon.
- Exceptional written and verbal communication; you can write in someone else's voice and betrusted with sensitive correspondence.
- Proven discretion with confidential financial, legal, and personal information.
- Strong event and logistics instincts: you have run gatherings where the details mattered andnothing was left to chance.
- Fluency with Google Workspace or Microsoft 365, Zoom, Slack, and expense tools, and theability to pick up new software quickly.
- Calm under pressure, with the judgment to decide independently and the humility to ask when itmatters.
- Bachelor's degree preferred but not required.
- Based on or near the Monterey Peninsula, with a valid driver's license and the ability to workon-site in Carmel Valley.Why this roleYou will work directly with the principal, have real ownership over how the executive office runs,and help shape a cultural program from its early days rather than inherit one.
