Connecting across multi-channels, platforms and systems.The Executive Assistant is responsible for providing high-level administrative, operational, and strategic support to senior leadership, ensuring efficient management of schedules, communications, meetings, travel arrangements, and business priorities. The role acts as a trusted partner to executives by coordinating cross-functional activities, managing confidential information, tracking key deliverables, and facilitating effective communication between internal and external stakeholders.The Executive Assistant plays a critical role in enhancing executive productivity by proactively managing calendars, preparing reports and presentations, organizing meetings, handling correspondence, and ensuring timely follow-up on action items. The position requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Calendar ManagementManage and updatedaily, weekly, and monthly schedulesCoordinate internal and external meetings(including with clients)Resolve scheduling conflicts and prioritize effectivelyEnsure meeting readiness (agendas, reminders, materials)Optimize time with focus blocksand buffer periodsMaintain confidentiality of sensitive schedulesTravel ManagementPlan end-to-end travelitineraries (domestic & international)Book flights, hotels,and transportation as per companypolicyNegotiate rates and ensure cost-effective bookingsManage travel documentation (visas, insurance, boardingpasses)Provide real-time travel support during tripsCoordinatewith vendors, agencies, and internal stakeholdersEnsure compliance with travel policiesand manage expensesAdministrative ResponsibilitiesOversee day-to-day officeoperations for leadershipManage communication (emails,calls, correspondence)Maintain and organizedocumentation (OneDrive & physical)Coordinatemeetings, events, and conferencesSupport client/visitor interactions and logisticsAssist in financial tracking, vendor coordination, and procurementProvide HR support (interviews, employee data, engagement activities)
