Apply & track with Apply EdgePrincipal Functions:Manage all aspect of the Leadership Office Management, creating and maintaining a professional first point of contact for all enquiries and interactions. In addition to providing administrative support to the Senior Management Team, the Office Manager provides an executive secretariat function to the Senior Management Team, senior internal committees and the Board of Trustees. The Executive Assistant also oversees the organization and delivery of special events.Specific Accountabilities:Provide informed advice and guidance on operational matters; highlighting any deficits or issues reported and obtaining further information as required prior to discussion with senior leadership.Serve as the first point of contact for the office, responding to enquiries in a professional manner and ensuring that only matters requiring escalation are referred to senior leadership. This may require liaison with other departments to formulate an appropriate response.Manage executive calendars effectively, prioritizing and reprioritizing appointments to ensure the best use of time and appropriate access for internal and external stakeholders, while paying due attention to cultural protocols.Provide executive secretariat support to the Senior Management Team, senior committees, and governing bodies. This includes developing agendas and meeting papers, coordinating with committee chairs, ensuring suitable meeting arrangements, and finalizing meeting minutes.Provide appropriate advice and guidance to administrative staff, support staff, and adjunct administrative personnel in the absence of their principal supervisors. Act as a conduit for instructions from senior leadership to management, faculty, staff, and external stakeholders.Contribute to the development and preparation of departmental and organizational budgets and support the submission of budget requirements to relevant authorities for review and approval.Conduct research and review reports presented to the office to identify key issues, highlight matters of significance, and alert senior leadership to areas requiring attention.Maintain efficient and effective administrative records to ensure accessibility, audit readiness, and compliance with governance requirements.
