Executive Assistant (to Founder/CEO)
INFLXD. · Singapore, Singapore
Apply & track with Apply EdgeThis is a demanding role, and we'd rather you know that from the first line than discover it in week two.You won't be managing a diary. You'll be the operational extension of a Founder running a profitable, fast-scaling AI-augmented services company whose clients include US unicorn fintechs and household brands. The standard is straightforward: things get done, completely, or they don't count. The Role in One LineYou take what the Founder intends and turn it into what actually happened — the meeting booked, the decision recorded, the follow-up closed, the event delivered, the problem solved. You're in the room. In meetings, on calls, at dinners, on planes. Your job is to compress the Founder's day so he operates at double speed — and to use AI well enough that you do too. What This Role Asks of YouReal commitment. Six days a week, predominantly in-person in Singapore. No fixed shifts and genuine flexibility — but the work doesn't switch off on Friday evening.A growth mindset. Feedback here is frequent, direct, and fast. Work gets revised, approaches get challenged, and better ways get suggested constantly. People who treat that as fuel thrive. People who need everything approved first time won't.Range. In a single week you might book multi-leg international travel, assemble board pre-reads, run logistics for a leadership offsite, and host a client executive at dinner. What You Get BackA live education in how a company gets built. You sit in the meetings that matter. You watch, up close, how a Founder decides, hires, negotiates, and sells.A full AI stack as your team. Claude, ChatGPT, Perplexity, Notion AI, Granola, plus automation tooling. You'll be equipped — and expected — to produce the output of a much larger team.Compressed growth. Twelve months here should teach you what five years somewhere comfortable would.Daily Founder access. If your ambition is Chief of Staff, running a Founder's Office, or eventually building your own company, this is the apprenticeship.A genuine seat in a Singapore-headquartered business serving global enterprise clients. The Work1. Running the Founder's Operating System (~60%)Calendar with intent. Every meeting exists for a reason, has a prep doc, and produces a follow-up. You protect deep-work blocks like they're your own.Communications triage. Email, Slack, WhatsApp, LinkedIn, Telegram. You separate signal from noise. You draft the majority of replies with AI; the Founder edits and sends.Operating rhythm. Daily check-in, weekly review, monthly board preparation. You build the cadence and keep everyone to it — including the Founder.Travel that earns its cost. Trips designed to extract maximum value from minimum days across Singapore, the US, the UK, and Australia. Flights, hotels, ground transport, dinners — with back-up plans ready for when the first plan breaks mid-trip.Events, end-to-end. Private client dinners, leadership offsites, community gatherings, larger client events. Venue to guest list to run-sheet to follow-up — the whole experience is yours to own.2. The "Handle It" Portfolio (~30%)Anything the Founder can't do because he's in a meeting. Visa paperwork, vendor negotiations, property matters, gifting, conference registrations, appointments. You take it, and it comes off his list for good.Meeting output. You attend, capture decisions, assign owners and deadlines, and follow up until closed. No meeting ends without concrete outcomes on record.Translation. An hour of Founder thinking becomes a one-page plan: owners, dates, dependencies, blockers. Drafted with AI in ten minutes, not two hours.3. AI-Native Leverage (~10%)You use AI tools daily as working infrastructure, not novelty — drafting, research, synthesis, prep, automation. You build small automations between Gmail, Calendar, Notion, and Slack using Zapier, Make, Apps Script — or you have an AI write the code and you ship it.Your default pace is faster than people expect, because a machine did most of the first draft on everything you touch.Who Does Well HereDoers. You see a problem and solve it, rather than scheduling a meeting about it.Self-starters with options ready. Instead of asking "how should I do this?", you arrive with "I've done it three ways — which do you prefer?"AI-fluent, or getting there fast. You're curious about tools and you learn quickly. "I'm not technical" isn't how you describe yourself.Genuinely discreet. You'll see contracts, compensation, cap tables, personal and family matters. Trust is the foundation of this role, and a breach of it ends the role — that's stated plainly because it matters.Comfortable with candour. You'll get honest feedback often, sometimes mid-task. The people who succeed here treat it as useful information and adjust quickly.Naturally anticipatory. The car is booked before the meeting wraps. The table is reserved before the trip is confirmed. The brief is printed before it's requested.Physically present. Singapore-based, in person, available. Not remote. Not hybrid. Two Backgrounds That WorkThe experienced EA ready for more. You've supported a senior leader at a bank, fund, consultancy, or scale-up. You've learned what that environment can teach you, and you want a Founder, real stakes, and a genuine seat at the table. The operator seeking Founder proximity. You've come up through operations, project management, events, or hospitality. You've never held the EA title — but you want to learn how a company gets built by working next to the person building it.Either way, if you're the one your friends call when something needs figuring out. You're at a stage where skills and exposure matter more than a comfortable title. You want to look back in two years and know you gained five years of growth.Evidence We'll Look ForWe care about what you've shipped, not what you were called. At least three of these should be true of you:Directly supported a Founder, CEO, MD, or C-suite executive (not from within a pool)Delivered a 20+ person event end-to-end: venue, catering, agenda, logistics, follow-throughManaged complex international travel spanning 3+ time zonesBuilt a system, template, dashboard, or workflow that you used daily and others adoptedUsed AI tools (Claude, ChatGPT, Perplexity, Granola or similar) as a daily part of how you workOperated inside a high-growth or early-stage business (2x–10x scaling in people or revenue)Handled sensitive material — contracts, deal terms, compensation, personal data — without incidentWritten external communications under someone else's name that landed wellThis Probably Isn't for You IfYou're not currently in Singapore with the legal right to work hereYou're looking for a 9-to-5 with firm boundaries and a predictable workloadYou describe yourself as "detail-oriented" but haven't yet shipped an event or built a workflowYour technical range currently ends at Microsoft OfficeYou haven't yet made Claude, ChatGPT, or Perplexity part of your daily working lifeYou prefer being given clear instructions over working out what needs doingFrequent, direct feedback isn't an environment you'd enjoyYou see the EA role as diary managementHow to ApplyFill in the application form. Every submission gets read. We reply to those who are a clear fit.No cover letters. No CVs at first stage. The form is the filter.
