Apply & track with Apply EdgeAbout the RoleKaran Group is seeking an experienced and highly capable Executive Assistant to the Chairman to provide comprehensive executive support to the Chairman’s Office.The ideal candidate will be a proactive, organized, discreet, and business-minded professional with experience supporting a Chairman, CEO, Managing Director, or other C-suite executive. The role requires excellent communication, strong follow-up capabilities, sound judgment, and the ability to manage multiple priorities in a fast-paced international business environment.The successful candidate will act as a trusted extension of the Chairman’s Office, ensuring effective coordination, timely execution, and clear communication across senior stakeholders and business functions.Key ResponsibilitiesManage the Chairman’s calendar, meetings, appointments, travel arrangements, and correspondence.Prepare executive agendas, presentations, briefing notes, MIS reports, board materials, and meeting minutes.Coordinate with senior leadership, board members, and international stakeholders.Track key action items, commitments, and decisions and ensure timely follow-up and closure.Screen and prioritize emails, calls, requests, and other communications.Conduct research and prepare concise summaries and briefing notes to support decision-making.Maintain and organize confidential documents and sensitive information with a high degree of discretion.Coordinate meetings and communication between the Chairman’s Office and internal/external stakeholders.Support the Chairman’s Office with strategic, administrative, and ad-hoc assignments.Follow up with departments and senior team members to ensure execution of priorities.Assist with international business coordination and travel-related requirements when required.Anticipate the Chairman’s requirements and proactively prepare information, documents, and schedules.RequirementsMinimum 5 years of experience as an Executive Assistant, Personal Assistant, Executive Secretary, or similar role supporting a Chairman, CEO, MD, Director, or senior executive.Excellent written and verbal communication skills.Strong organizational and multitasking abilities.Demonstrated ability to handle confidential and sensitive information.Strong follow-up, coordination, and stakeholder-management skills.Ability to work independently and manage competing priorities.Proficiency in Microsoft Office and/or Google Workspace.Strong presentation, documentation, and reporting skills.Hands-on experience using ChatGPT, Claude, Gemini, or similar AI tools for research, drafting, summarization, analysis, and productivity.Ability to remain calm, professional, and effective under pressure.Experience working in an international or multicultural business environment is preferred.Gujarati language proficiency is required.Willingness to travel internationally as required.Preferred BackgroundCandidates with experience supporting senior leadership in areas such as manufacturing, trading, energy, retail, logistics, or other international business environments will be preferred.Ideal CandidateThe ideal candidate will demonstrate:High integrity and discretionProactive approachStrong business understandingExcellent attention to detailProfessional maturityStrong ownership and follow-throughExcellent interpersonal and communication skillsAbility to anticipate requirements rather than simply respond to instructionsConfidence in dealing with senior executives and stakeholdersStrong adoption of modern AI and digital productivity toolsLocationDubai/Africa, with international travel as required.Employment TypeFull-time
