Founded by VaralaxmiSarathkumar and Nicholai Sachdev, Luxury is built around rarity, provenance,authenticity, craftsmanship, discretion, and enduring desirability.We are looking for a highly organised, articulate, discreet, and proactive Executive Assistantto the Director who can work closely with the Director across business, personal,administrative, and client-related responsibilities.Role OverviewThis is a high-trust position requiring exceptional organisation, judgement, discretion, andattention to detail. The Executive Assistant will act as a key point of coordination for theDirector, ensuring that meetings, schedules, communications, travel, documentation, follow-ups, and day-to-day priorities are managed efficiently.The ideal candidate should be comfortable working in a fast-paced, high-expectationenvironment and interacting with HNIs, UHNIs, business associates, clients, vendors,advisors, and other senior stakeholders on behalf of the Director.Key Responsibilities
- Manage the Director’s calendar, appointments, meetings, calls, and daily schedule
- Prioritise and coordinate the Director’s professional and personal commitments
- Act as the primary point of contact between the Director and clients, businessassociates, vendors, advisors, and other stakeholders
- Screen, prioritise, and coordinate incoming calls, messages, emails, and requests
- Prepare meeting agendas, briefing notes, presentations, documents, andcorrespondence as required
- Maintain accurate records of meetings, discussions, commitments, and follow-upactions
- Ensure that important tasks and commitments are followed up on and completedwithin the required timelines
- Coordinate with internal teams and external parties on behalf of the Director
- Organise domestic and international travel, including flights, hotels, transportation,itineraries, appointments, and related arrangements
- Coordinate private meetings, client appointments, dinners, events, exhibitions,viewings, and other engagements
- Assist the Director in managing confidential business information, documents,financial records, contracts, and correspondence
- Maintain an organised filing and documentation system, both physical and digital
- Assist with research and preparation of information required for business decisions,meetings, acquisitions, and client interactions
- Coordinate with accountants, lawyers, consultants, banks, vendors, and otherprofessional advisors when required
- Assist in monitoring invoices, payments, expenses, reimbursements, and otheradministrative matters relating to the Director
- Handle sensitive and confidential matters with absolute discretion
- Support the Director with personal administrative requirements and appointmentswhen required
- Anticipate the Director’s requirements and proactively address matters before theybecome urgent
- Ensure the Director is adequately briefed and prepared for meetings, travel,appointments, and important engagements
- Take on additional responsibilities and special projects as required by the DirectorClient & Relationship ManagementThe Executive Assistant will also be expected to maintain a high level of professionalismwhen interacting with V&N Luxury’s clientele and network.Responsibilities may include:
- Coordinating communication with HNI/UHNI clients and important contacts onbehalf of the Director
- Maintaining confidentiality regarding client identities, purchases, preferences, andpersonal information
- Coordinating private viewings, meetings, dinners, travel, and other clientengagements
- Maintaining and updating important contact databases and relationship records
- Ensuring that important client requests and commitments are communicated to theappropriate team members
- Following up on matters discussed by the Director with clients and businessassociates
- Building familiarity with the Director’s professional network, preferences, workingstyle, and prioritiesIdeal Candidate
- 5–10 years of experience as an Executive Assistant, Personal Assistant, Chief ofStaff, or in a similar high-level support role
- Experience working directly with a business owner, promoter, entrepreneur, CEO,Director, HNI, UHNI, or senior executive preferred
- Exceptional communication skills in English and Hindi, with proficiency in thelocal language
- Excellent written English and the ability to draft professional emails, messages,letters, and correspondence
- Highly organised, detail-oriented, and systematic
- Strong time-management and prioritisation skills
- Confident, composed, polished, and professional in appearance and communication
- Comfortable interacting with HNIs, UHNIs, senior executives, business owners,celebrities, clients, and other high-profile individuals
- Strong interpersonal skills with the ability to maintain relationships professionally
- Excellent follow-through and the ability to manage multiple priorities simultaneously
- Strong computer skills and proficiency with Microsoft Office / Google Workspace,email, calendars, spreadsheets, presentations, and digital communication tools
- Willingness to work flexible hours when required by the Director’s schedule
- Willingness to travel domestically and internationally when required
- A valid passport and ability to travel internationally would be an advantage
- Prior experience in luxury, hospitality, private banking, luxury retail, art, fashion,automobiles, watches, real estate, or other high-end environments would be anadvantagePersonal AttributesWe are looking for someone who is:
