Executive Assistant to the General Manager

Location: SingaporeReporting To: Company Founder / General ManagerJob Responsibilities:Lead the setup of the Singapore office from the ground up, including site selection, lease coordination, office renovation, equipment procurement, internet setup and vendor management.Coordinate local administrative and operational matters, including communication and document preparation involving banks, property management, accounting, tax, legal, HR and relevant government authorities.Establish and maintain daily office administration processes, including procurement, expense reimbursement, contract and document filing, fixed asset management, visitor reception and workplace maintenance.Manage the General Manager’s calendar, meetings, business appointments, travel arrangements, itinerary coordination and important reminders.Attend business meetings, prepare meeting minutes, summarize key action items, follow up with relevant stakeholders and ensure tasks are completed on time.Prepare business emails, meeting materials, contracts, reports and other documents in both English and Chinese. Provide interpretation and translation support when required.Coordinate with internal departments and external business partners, accurately communicate the General Manager’s requirements, organize resources and follow up on project progress.Support daily communication and business reception involving clients, partners and vendors, and help maintain positive external relationships.Complete other business and administrative tasks assigned by the General Manager.Qualifications:Bachelor’s degree or above. Experience as an Executive Assistant, Personal Assistant, Office Manager, Administrative Manager or Project Coordinator is preferred.Fluent in Mandarin Chinese, with strong verbal and written communication skills.Full professional proficiency in English, with the ability to independently conduct meetings, write business emails, review contracts and communicate with external parties in English.Strong execution skills, with the ability to turn broad instructions into clear action plans and follow through until completion.Strong organizational and coordination skills, with the ability to manage multiple priorities and determine the urgency of different tasks.Detail-oriented, dependable and responsible, with strong sensitivity to deadlines, numbers and document accuracy.Strong interpersonal and business etiquette skills, with the ability to communicate effectively with internal teams, clients, partners and vendors.Able to work under pressure, adapt to the General Manager’s working pace and respond quickly to urgent or unexpected matters.Proficient in Microsoft Office, Lark/Feishu and other commonly used workplace tools. Able to independently prepare meeting minutes, spreadsheets and basic business presentations.Familiarity with Singapore’s business environment, administrative procedures, government processes and local vendor resources is preferred.Experience in setting up a Singapore office, supporting company operations, coordinating bank account opening or managing similar projects is preferred.Must be legally authorized to work in Singapore and able to work on-site on a long-term basis.Role Overview:This is not a traditional administrative role limited to calendar management and travel booking. During the initial stage, the successful candidate will be expected to independently drive the setup of the Singapore office. After the office is established, the role will focus on office operations and supporting the General Manager with daily business matters.
