This vacancy is advertised in Lebanon to reach locally based candidates, but the position is based in Dubai and requires relocation if selected. Relocation arrangements will be discussed during the recruitment process.The Managing Director is seeking a highly capable Executive Assistant who can create focus, strengthen follow-through and gradually assume responsibility for complex coordination across the business.Fluent professional English and French are mandatory. Ease of international business travel, including relevant visa-free access or valid travel permissions, would be a significant advantage.Key responsibilitiesManage the Managing Director’s calendar, priorities, travel, meeting preparation and follow-up.Anticipate scheduling conflicts, protect time for important priorities and ensure that commitments are tracked.Prepare meeting agendas and concise briefing notes, record decisions and follow up on actions, owners and deadlines.Draft correspondence and manage selected emails within clearly agreed approval and delegated-authority arrangements.Coordinate financial matters with the accountant, relevant internal stakeholders and external advisers, while ensuring that reserved financial decisions remain with authorised decision-makers.Coordinate contract documentation and legal reviews, maintain visibility over deadlines and outstanding matters, and identify recurring issues for management and legal counsel.Conduct market, client, competitor and business research and convert findings into accurate, decision-ready summaries.Develop a thorough understanding of the company’s customers, projects, obligations and operating priorities.Identify gaps in follow-through, escalate significant risks and ensure that important matters do not remain unresolved.Use appropriate AI tools to support research, drafting, synthesis and administration while protecting confidential information and verifying all material outputs.Candidate profileA bachelor’s degree in engineering, business, law, finance or another discipline requiring strong analytical skills.Fluent professional English and French, both written and spoken. Both languages are mandatory.Strong writing, research, analytical, organisational and interpersonal skills.The ability to convert complex information into concise and useful briefings.Sound judgement regarding priorities, confidentiality, delegated authority and when a decision must be escalated.The confidence to follow up with senior internal and external stakeholders.Discretion, adaptability and composure when priorities change.A strong sense of ownership and the ability to work independently without losing alignment with the Managing Director.Willingness to work on-site in Dubai and relocate if necessary.Relevant executive-support or business-coordination experience is valuable.
