Apply & track with Apply EdgeExecutive Assistant – UAENRole OverviewWe are seeking a highly professional, discreet, and proactive Executive Assistant to provide dedicated support to senior leadership. The role will be responsible for ensuring the executive office operates smoothly and efficiently, enabling senior leadership to remain focused on strategic and business priorities.The ideal candidate will be highly organized, mature, and comfortable working in a confidential, high-governance environment involving senior executives, board members, investors, government entities, and external stakeholders.Key ResponsibilitiesExecutive Support & Office ManagementTake full ownership of the executive's calendar, meetings, appointments, travel, and daily priorities.Proactively manage schedules, deadlines, follow-ups, and competing priorities with minimal supervision.Anticipate the executive's requirements and ensure all necessary information, documents, and logistics are prepared in advance.Act as the central coordination point for matters requiring the executive's attention.Stakeholder & Communication ManagementServe as the primary point of contact for internal and external stakeholders, including board members, investors, government entities, and senior business partners.Manage correspondence, communications, requests, and follow-ups on behalf of the executive.Coordinate with internal departments and external stakeholders to ensure timely execution of executive-level requirements.Maintain a polished and professional communication style across all interactions.Board & Governance SupportCoordinate logistics and documentation for Board meetings, Investment Committee meetings, and other senior-level or confidential sessions.Prepare, review, organize, and maintain board papers, presentations, reports, briefing materials, and meeting documentation.Attend high-level meetings when required, prepare minutes, document decisions, and track action items through to completion.Liaise with Legal, Compliance, Finance, and other relevant functions regarding documentation, approvals, and governance matters.Confidentiality & Information ManagementHandle highly sensitive business, financial, investment, personal, and corporate information with the highest level of confidentiality.Maintain strict protocols around confidential documents, communications, access, and information sharing.Exercise sound judgment when dealing with sensitive matters and determine when escalation is required.Priority & Ad Hoc ManagementManage urgent and high-priority assignments on behalf of the executive.Handle last-minute changes, competing demands, and time-sensitive matters calmly and efficiently.Take ownership of assigned tasks and ensure commitments and action items are followed through to completion.Candidate RequirementsUAEN – Mandatory1–3 years of relevant experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar role.Previous experience supporting C-suite or board-level executives is essential.Experience within investment firms, financial services, family offices, holding companies, government-related entities, or other high-governance environments is highly preferred.Demonstrated maturity and discretion in handling confidential and sensitive information.Excellent command of English, both written and spoken; Arabic is an advantage.Strong organizational, planning, prioritization, and multitasking skills.Professional presence and strong communication skills when interacting with senior executives, investors, government officials, and external stakeholders.Excellent attention to detail with the ability to manage multiple priorities simultaneously.High level of integrity, discretion, reliability, and professional judgment.Proactive and self-driven, with the ability to work independently and take ownership.Calm, composed, and solutions-oriented under pressure.Strong proficiency in Microsoft Outlook, PowerPoint, Word, and Excel.Familiarity with board portals, document management systems, or corporate governance platforms is an advantage.Key CompetenciesExecutive & Calendar ManagementBoard & Governance CoordinationConfidential Information ManagementSenior Stakeholder ManagementBusiness CorrespondenceMeeting & Travel CoordinationDocument & Presentation PreparationFollow-up & Action TrackingTime & Priority ManagementProfessional CommunicationDiscretion & Sound JudgmentOwnership & Accountability
