The role also oversees and coordinates key financial activities, reporting, budgeting, financial analysis, and administrative matters.The ideal candidate will combine strong financial expertise with excellent executive coordination, organizational, communication, and stakeholder management skills. This position requires a highly trusted and discreet individual who can manage sensitive information, coordinate executive-level priorities, and provide reliable financial and operational insight to the CEO.Key ResponsibilitiesExecutive Office ManagementManage the day-to-day operations and workflow of the CEO’s office.Coordinate the CEO’s calendar, meetings, appointments, and executive commitments.Prepare meeting agendas, presentations, reports, minutes, and executive correspondence.Follow up on decisions, action items, and strategic initiatives assigned by the CEO.Coordinate communication between the CEO and internal departments, clients, partners, and external stakeholders.Ensure that matters requiring the CEO’s attention are properly prioritized and followed up.Handle confidential and sensitive information with the highest level of discretion.Organize and coordinate executive meetings, business visits, events, and travel arrangements when required.Financial Management & AnalysisMonitor the organization’s financial performance and provide regular financial updates to the CEO.Prepare and review budgets, forecasts, financial reports, and management reports.Analyze revenues, expenses, cash flow, financial performance, and budget variances.Support the annual budgeting and forecasting process.Monitor financial controls, approvals, and expenditure against approved budgets.Review financial data and identify financial risks, trends, and opportunities for improvement.Coordinate with the Finance Department, auditors, banks, and other financial stakeholders.Support the CEO in evaluating financial implications of business decisions and strategic initiatives.Ensure that financial reports and analyses are accurate, timely, and presented in a clear executive format.Business & Administrative CoordinationCoordinate cross-functional activities on behalf of the CEO.Follow up with department heads on key operational and business matters.Prepare executive-level dashboards and management reports.Support the CEO in monitoring organizational performance and key business priorities.Assist in preparing business cases, financial analyses, and presentations for management meetings.Maintain an effective filing and documentation system for executive and financial records.Ensure timely completion of tasks and deliverables assigned through the Executive Office.Governance & ConfidentialityMaintain strict confidentiality regarding financial, commercial, strategic, and executive information.Ensure appropriate documentation and follow-up of executive decisions.Support compliance with internal policies, financial controls, and governance requirements.Exercise sound judgment when handling sensitive executive and financial matters.QualificationsBachelor’s degree in Finance, Accounting, Business Administration, or a related field.Professional certification such as CPA, CMA, ACCA, or equivalent is preferred.8+ years of relevant professional experience, with strong experience in finance and executive office management.Previous experience supporting a CEO, Managing Director, General Manager, or C-Suite executive is highly preferred.Strong understanding of financial reporting, budgeting, forecasting, and financial analysis.Experience in managing executive-level meetings, communications, and confidential information.Required SkillsStrong financial and analytical skills.Excellent organizational and time-management skills.Strong executive communication and presentation skills.High level of discretion and confidentiality.Strong attention to detail and follow-up skills.Ability to manage multiple priorities in a fast-paced environment.Strong stakeholder and relationship management skills.Excellent Microsoft Office skills, particularly Excel and PowerPoint.Ability to prepare professional financial and executive reports.Strong business acumen and problem-solving skills.Excellent written and verbal English and Arabic communication skills.Ability to work independently and exercise sound judgment.Preferred ProfileThe ideal candidate is a finance-oriented executive office professional who can act as a trusted right hand to the CEO, manage executive office priorities, understand financial matters in depth, and translate financial and operational information into clear insights that support management decision-making.
