The Executive Personal Assistant is a trusted, high-calibre professional who provides comprehensive and confidential support to the Chairman. Far more than a secretarial role, this position requires strong judgement, business acumen and the ability to connect information across the organisation. The Assistant anticipates the Chairman's needs, manages the flow of information into and out of the office, reviews and synthesises documentation, and enables the Chairman to focus on strategic priorities. Success in this role depends on discretion, initiative, exceptional organisation, and the intellectual capacity to review complex material, draw conclusions and propose well-reasoned recommendations.Executive & Administrative Support•   Diary and time management: Manage the Chairman's calendar end-to-end — scheduling, prioritising and rescheduling appointments, meetings and travel while resolving conflicts proactively.•   Meeting preparation: Organise internal and external meetings, prepare agendas, assemble briefing packs, coordinate logistics and ensure the Chairman is fully prepared with the right materials in advance.•   Travel and logistics: Arrange domestic and international travel, itineraries, visas and accommodation, and prepare detailed trip briefs.Communication & Correspondence•   Email management: Monitor, filter and prioritise the Chairman's inbox, flagging urgent matters and ensuring nothing is overlooked.•   Drafting replies: Draft, review and respond to emails and correspondence on the Chairman's behalf in both English and Arabic, maintaining an appropriate and professional tone.•   Gatekeeping: Act as the first point of contact for the Chairman's office, screening communications and liaising professionally with senior stakeholders, government bodies and partners.Document Review & Analysis•   Review and summarise: Review reports, contracts, presentations and correspondence, distil the key points, and produce clear, concise summaries for the Chairman.•   Correlate information: Connect information across different documents, departments and sources to provide the Chairman with context and a complete picture.•   Recommendations: Identify issues, opportunities and follow-up points, and provide the Chairman with informed recommendations and suggestions to support decision-making.Meetings & Follow-up•   Minutes of meetings: Attend meetings alongside or on behalf of the Chairman, capturing accurate minutes and recording decisions and action items.•   Action tracking: Track action items to completion, follow up with the relevant parties, and keep the Chairman updated on progress and outstanding matters.Coordination & Liaison•   Cross-department coordination: Work closely with department heads and teams to gather information, coordinate deliverables and ensure the Chairman's instructions are executed and followed through.•   Confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.•   Special assignments: Manage ad-hoc projects, personal matters and special assignments as directed by the Chairman.Qualifications & Experience•   Education: Bachelor's degree (business administration, management or a related field preferred).•   Experience: Proven experience as an Executive Assistant or Personal Assistant, ideally supporting C-level executives, a chairman or board-level leadership.•   Languages: Full professional fluency in English and Arabic — spoken and written — with excellent drafting and translation ability.•   Technical: Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and calendar/collaboration tools.Skills & Competencies•   Excellent written and verbal communication in both languages, with strong summarising and reporting skills.•   Strong analytical ability — able to review complex material, correlate information and draw sound conclusions.•   Exceptional organisation, time management and attention to detail, with the ability to juggle multiple priorities under pressure.•   Sound judgement, initiative and problem-solving — anticipates needs and acts proactively.•   The highest standards of discretion, integrity and professionalism when handling confidential matters.•   Polished interpersonal skills and the confidence to engage with senior and high-profile stakeholders.•   Flexibility and availability to accommodate the demands of the Chairman's schedule.
