With its avant -garde superyacht inspired design, Jumeirah Marsa Al Arab completes the nautical trilogy alongside the wave -shaped Jumeirah Beach Hotel and the iconic sail -inspired Jumeirah Burj Al ArabAbout the Job The main duties and responsibilities of this role include: Provide day-to-day administrative support to the Director of Sales and the wider Sales team.Coordinate and follow up on internal and external requests to ensure timely completion.Prepare sales-related correspondence, proposals, presentations and other documentation as required.Maintain accurate and organized electronic records, files and sales documentation.Assist with the preparation and processing of Entertainment (ENT) forms and ensure all required supporting documentation is completed.Coordinate with relevant hotel departments, including Reservations, Revenue, Finance, Front Office, Food & Beverage and Marketing, on Sales-related requirements.Budget & Finance AdministrationSupport the Director of Sales with monitoring the departmental Sales Promotion, travel and other relevant budgets.Maintain accurate trackers for departmental expenses, commitments and expected charges.Assist with invoice submission, tracking and follow-up with Finance to ensure timely processing and payment.Follow up on outstanding invoices, purchase orders and supporting documentation.Assist with reconciliation of Sales-related expenses and maintain organized records for reference and audit purposes.Support the preparation of monthly budget updates and expense summaries.Sales Systems, Reporting & Data ManagementMaintain accurate and up-to-date information in the hotel's sales systems and databases.Support the Sales team with account creation, account updates and general data management.Assist in preparing regular Sales reports, production reports, account performance summaries and other departmental reports.Ensure Sales activities, client information and relevant updates are recorded accurately and consistently.Support the team in maintaining client and agency databases and contact lists.Client & Partner SupportAssist the Sales team with client and travel partner enquiries and ensure requests are directed to the appropriate Sales Manager.Support the preparation of hotel information, presentations, fact sheets, images and other materials requested by clients and partners.Coordinate arrangements for sales appointments, site inspections, familiarization trips and hosted partner stays.Assist with preparing welcome amenities, itineraries and internal communication for hosted clients and partners.Maintain professional and timely communication with clients and partners when required.Sales Activities & EventsProvide administrative support for sales missions, trade shows, roadshows, exhibitions and other commercial activities.Assist with registrations, appointments, travel arrangements, collateral and logistical requirements.Maintain accurate records of participation costs and related expenses.Support post-event follow-up, contact consolidation and reporting.Assist with internal Sales events, client entertainment and partner activities.Internal CoordinationAct as a coordination point between the Sales team and other hotel departments for routine operational requirements.Ensure relevant departments receive accurate and timely information regarding VIPs, hosted partners, site inspections and other Sales-related activities.Follow up proactively on pending actions and escalate matters when required.Support effective communication within the Sales team and contribute to an organized and collaborative working environment.About You The ideal candidate for this position will have the following experience and qualifications:1-2 year of experience in a similar role within the luxury industryBachelor's degree in Sales or any related fieldStrong communication skillsAbout the Benefits At Jumeirah, we are dedicated to fostering a workplace where colleagues feel valued, supported, and inspired to grow.
