- Provide high-level administrative and secretarial support to the CEO.
- Manage the executive’s calendar, schedule meetings, and ensure optimal time management.
- Screen and prioritize calls, emails, and correspondence, ensuring timely responses.2. Documentation & Communication
- Draft, review, and prepare official letters, emails, reports, presentations, and minutes of meetings.
- Maintain confidentiality while handling sensitive company and personal information.
- Ensure accuracy and professionalism in all written and verbal communications.
- Translate executive instructions into clear communication for teams and departments.3. Meeting & Event Management
- Organize, coordinate, and follow up on board meetings, leadership reviews, and external engagements.
- Prepare agendas, briefing materials, and presentation decks for meetings.
- Record, distribute, and track action items from meetings to ensure timely follow-ups.
- Support in planning corporate events, conferences, and high-level business gatherings.4. Travel & Logistics
- Arrange domestic and international travel plans including tickets, accommodation, visa processing, and local transport.
- Prepare detailed itineraries ensuring smooth coordination across multiple time zones.
- Manage reimbursements, travel claims, and related expense reports.5. Office & Administrative Management
- Maintain filing systems, physical and digital, for quick retrieval of documents.
- Handle confidential records, contracts, agreements, and other critical files.
- Liaise with vendors, service providers, and government authorities when required.
- Oversee office supplies and ensure smooth day-to-day operations of the executive’s office.6. Stakeholder & Relationship Management
- Build and maintain professional relationships with clients, partners, board members, and senior stakeholders.
- Represent the executive in interactions where direct involvement is not possible.7. Confidentiality & Professionalism
- Handle sensitive corporate and personal information with utmost discretion.
- Maintain a high degree of integrity and reliability.
- Ensure compliance with company policies, governance standards, and legal requirements.QualificationsB.A, B.COM or B.B.MMinimum 3 years experience in administration roleLanguages : English, Kannada, Hindi, Tulu (optional)Effective Communication skills are requiredPreffered: Female
