Apply & track with Apply EdgeJob PurposeThe Exhibition Production Officer supports the planning, coordination, and delivery of temporary exhibitions, permanent gallery projects, and collection-related installations within the Museum. The role assists in managing project logistics, coordinating stakeholders, monitoring schedules, and supporting production activities to ensure the successful execution of exhibition projects in line with museum standards, budget requirements, and operational deadlines.Key ResponsibilitiesExhibition Project CoordinationSupport the planning and implementation of exhibition production projects from concept through installation and de-installation.Assist in developing and maintaining project schedules, action trackers, and production timelines.Coordinate with internal departments to ensure project milestones and deliverables are achieved.Monitor project progress and escalate risks, delays, or issues to management where necessary.Production & Installation SupportCoordinate exhibition installation and de-installation activities with contractors, suppliers, and internal teams.Assist in managing logistics related to exhibition furniture, showcases, graphics, audiovisual equipment, and display elements.Support the preparation of production documentation, work permits, and site access requirements.Ensure exhibition spaces are prepared and delivered according to project specifications and museum standards.Stakeholder ManagementLiaise with Curatorial, Collections Management, Conservation, Museography, Visitor Experience, Facilities, Security, and Procurement teams.Coordinate communications between exhibition stakeholders, external vendors, contractors, and consultants.Support meetings by preparing agendas, tracking actions, and documenting project updates.Budget & Administrative SupportAssist in monitoring project budgets and expenditure tracking.Support procurement activities, including obtaining quotations, processing purchase requests, and tracking invoices.Maintain accurate project records, schedules, contracts, and production documentation.Quality, Health & SafetyConduct routine inspections during production and installation phases to ensure quality standards are maintained.Ensure all activities comply with museum operational procedures, health and safety requirements, and conservation standards.Support project close-out activities, including reporting and lessons learned documentation.Continuous ImprovementConduct research on exhibition production methods, materials, and museum industry best practices.Identify opportunities to improve project coordination and operational efficiency.Contribute to departmental knowledge sharing and process enhancement initiatives.QualificationsEducationBachelor's Degree in Museum Studies, Arts Management, Project Management, Architecture, Interior Design, Event Management, Fine Arts, Cultural Heritage, or a related field.Experience1-3 years of experience in exhibition coordination, project coordination, museum operations, cultural institutions, events, or related fields.Exposure to managing multiple stakeholders and coordinating project timelines.Experience working with suppliers, contractors, and service providers is desirable.
