Major ResponsibilitiesThe Facilities Manager is responsible for the overall management, operation, maintenance, and improvement of the facility. The role ensures that all building systems, infrastructure, grounds, and support services are maintained in a safe, efficient, and cost-effective manner while supporting the school's academic and administrative operations.The Facilities Manager shall oversee day-to-day facilities operations, manage service providers and technical personnel, ensure compliance with applicable regulations, and lead facility improvement, renovation, and capital projects from planning through completion.Key ResponsibilitiesFacilities Operations ManagementOversee the daily operations and maintenance of all school facilities, buildings, grounds, and infrastructure.Ensure all building systems, including HVAC, electrical, plumbing, fire protection, elevators, and auxiliary systems, operate efficiently and reliably.Develop and implement preventive and corrective maintenance programs.Monitor facilities performance and service levels to ensure uninterrupted support to school operations.Conduct regular facility inspections and recommend improvements.Project ManagementPlan, coordinate, and oversee facility renovation, fit-out, repair, and capital improvement projects.Prepare project scopes, budgets, schedules, and resource requirements.Manage contractors, consultants, and vendors to ensure projects are completed safely, on time, within budget, and according to specifications.Monitor project progress and provide regular updates to school management.Ensure proper project turnover, documentation, and closeout.Vendor and Contractor ManagementManage and evaluate the performance of service providers, contractors, and suppliers.Review proposals, quotations, and service agreements.Ensure compliance with contractual obligations, safety requirements, and service level agreements.Conduct regular performance reviews and service audits.Financial ManagementPrepare and manage operating and project budgets.Monitor expenditures and identify cost-saving opportunities without compromising service quality.Review and approve facility-related purchases and service requests within authorized limits.Support procurement activities and budget forecasting.Health, Safety, and ComplianceEnsure compliance with local building codes, environmental regulations, occupational safety standards, and school policies.Lead emergency preparedness and business continuity initiatives.Oversee fire and life safety systems, emergency drills, and safety inspections.Ensure proper documentation and permit compliance.Stakeholder ManagementServes as the primary facilities contact for school administrators, faculty, staff, students, and parents regarding facilities-related concerns.Build and maintain positive working relationships with school leadership and key stakeholdersProvide timely resolution to facility issues and service requests.Prepare operational and project reports as required.Team LeadershipLead, supervise, and develop facilities personnel, engineers, technicians, and support staff.Establish performance objectives and monitor team productivity.Promote a culture of safety, accountability, customer service, and continuous improvement.Identify training and development opportunities for the facilities team.
