We partner with investors and portfolio companies to identify and secure exceptional leaders across Finance, Value Creation, Transformation, and Advisory, helping our clients build the teams that drive performance and create value.As our business continues to grow, we are looking for a highly organised Finance & HR Admin Assistant with exceptional attention to detail and proven experience across the responsibilities outlined below.About the Role We are looking for an organised and reliable Finance, HR & Administrative Assistant to support the day-to-day running of our finance, HR, and office administration activities. This is a hands-on role covering bookkeeping support, employee documentation, government-related processes, record keeping, and general administration. It would suit someone who is comfortable working across different areas, follows up consistently, and pays close attention to detail. This is a dual-reporting role. HR and administrative responsibilities will report to the Head of Operations, while finance-related responsibilities will report to the Finance Manager. Finance Responsibilities Carry out bank reconciliations. Record accounts payable and accounts receivable transactions. Record supplier and customer invoices accurately and on time. Maintain invoice and payment trackers and follow up on outstanding items. Prepare receivables and debtors reports and assist with payment follow-ups. Reconcile supplier statements and help resolve any differences. Support basic bookkeeping and general ledger activities. Maintain accurate financial records and supporting documents. Help keep the company’s accounts and records ready for audit. Assist with monthly closing procedures and account reconciliations. Help prepare accruals, prepayments, and other month-end schedules. Support UAE VAT return preparation and VAT reconciliations. Check invoices for basic UAE VAT compliance. Maintain VAT records and supporting documents. Assist with internal and external audit requests. Maintain finance trackers, schedules, and filing systems. Provide general finance and accounting administrative support as needed. HR and Administrative Responsibilities Coordinate employee visa applications, renewals, and cancellations. Support work permit and labour contract processing. Coordinate with PROs and relevant government authorities. Arrange Emirates ID applications and medical fitness appointments. Manage employee medical insurance enrolments, renewals, and cancellations. Prepare and collect documents for new employee onboarding. Support employee exit and offboarding documentation. Maintain accurate employee personnel files and HR records. Keep visa, work permit, Emirates ID, insurance, leave, and attendance trackers up to date. Monitor document expiry dates and make sure renewals are handled on time. Assist with employment contracts, letters, and other HR documents. Support MOHRE, immigration, residency, and basic UAE employment compliance processes. Coordinate with free zone or government authorities where required. Maintain company licences, establishment cards, and other corporate documents. Prepare payroll inputs and keep employee information up to date. Help with general HR and administrative tasks. Maintain organised filing systems and supporting documents. Provide general office administration and coordination support. What We’re Looking For A diploma or bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field. Around 1–3 years of relevant experience in finance, HR, administration, or a similar combined role. Previous work experience in the UAE is preferred. Basic knowledge of bookkeeping, account reconciliations, and UAE VAT requirements. Familiarity with UAE visa, work permit, Emirates ID, insurance, and employee documentation processes. Good working knowledge of Microsoft Excel, Word, and Outlook. Experience using accounting, payroll, HR, or ERP software would be helpful. Good written and spoken English. Other languages would be an advantage. Personal Skills Organised and able to keep track of several tasks at the same time. Careful and accurate when working with numbers and documents. Able to meet deadlines and raise issues before they become problems. Trustworthy and discreet when handling confidential employee and financial information.
