Finance Assistant, ReceivablesLocation: Dubai, UAE (Dubai Investment Park showroom, on site)Reports to: Financial Accountant, with oversight from the Finance LeadWorks closely with: Sales floor, finance and insurance desk, document control, consignment partners, customers and the company's banking partnersPackage: AED 5,000 to AED 7,000 per month, plus [visa, medical insurance, annual leave and air ticket as per UAE labour law]OVERVIEWWe are seeking a Finance Assistant with excellent time management and interpersonal skills to run accounts receivable and customer billing at Park Lane Motors. You will support the Financial Accountant with the management and governance of the company's receivables, customer invoicing and collections across retail, consignment, franchise and intercompany activity.With around 150 vehicles delivered every month across cash, bank financed and consignment transactions, the discipline that matters most is timing. Your core mandate is that a compliant tax invoice is raised at the point of transfer on every deal, that every receipt is matched and banked, and that nothing sits unbilled or uncollected without someone knowing about it.The Finance Assistant, Receivables will work closely with the Financial Accountant and the Finance Lead. They will be a key point of contact for receivables matters, working closely with the sales floor, the finance and insurance desk, document control and the company's banking partners.KEY RESPONSIBILITIES• Raise the tax invoice on every sale at the point of vehicle transfer, ensuring VAT is applied correctly and the invoice carries the customer and TRN details required.• Ensure each deal file is complete before release, including sale agreement, customer identification, transfer documentation, insurance and finance approval.• Track bank financed deals from approval through to disbursement across the company's banking partners, chase outstanding disbursements daily, and reconcile each receipt to the deal it belongs to.• Coordinate the collection and banking of customer payments, and reconcile card settlements and merchant charges to the bank.• Record customer deposits, holding payments and trade in credits accurately, and ensure they are applied to the correct transaction on completion.• Invoice and reconcile finance and insurance, warranty and value added service income, including paint protection, ceramic coating and tinting, and agree referral and commission income to provider statements.• Prepare consignment client statements and settlements, and invoice the associated fee income.• Raise and issue intercompany invoices across the group entities and reconcile intercompany balances with the counterparty.• Maintain the aged debtors schedule, issue a weekly ageing report, and alert management to overdue and at risk amounts with a proposed action for each.• Perform customer statement reconciliations and issue receipts for customer and intercompany payments.• Identify and resolve customer invoice queries, and process approved refunds and credit notes under the agreed authority levels.• Support the issue of no objection certificates and clearance documentation once settlement is confirmed.• Ensure new customers and consignment clients are set up correctly and consistently in the accounting system.• Reconcile the receivables ledger to the operational deal tracker and sales sheet on a weekly basis, and investigate every difference.• Ad hoc requests, analysis and projects as required by the Financial Accountant or the Finance Lead.KEY DELIVERABLES IN THE FIRST 90 DAYS• Invoices raised at the point of transfer on every deal, with the quarterly catch up cycle eliminated.• Receivables ledger reconciled weekly to the operational deal tracker with differences cleared.• Aged debtors report issued weekly with a named action and owner against every overdue balance.• All bank finance disbursements and card settlements matched, with no unidentified receipts on the bank.ABOUT PARK LANE MOTORSPark Lane Motors is a Dubai based automotive retailer founded in 2021, operating from a flagship 25,000 sq ft showroom in Dubai Investment Park. Arabic, Urdu or Hindi is an advantage in this environment.• Experience with VAT and the requirements of a valid tax invoice.• Confident and courteous with customers when chasing payment, and able to hold a firm line politely.• Sound Excel skills, including lookups and pivot tables. Exposure to QuickBooks and Odoo is a distinct advantage.• Organised and persistentEDUCATION AND BACKGROUND• Minimum high school education essential. A finance or accounting qualification, or study towards one, is an advantage.• Previous experience in accounts receivable, billing or collections is essential.• Fluent written and spoken English essential.• Experience working to tight daily and monthly deadlines.• MS Office with sound Excel skills.• Willing to learn or already learning AI tools.
