You will play a central role in keeping the operations running smoothly, supporting the advisers and ensuring an outstanding experience for the clients.Duties and Responsibilities: Send, chase and process letters of authority and plan information with providersProcess new business, switches (on and off platform) and client withdrawalsLiaise with product providers on behalf of clients, including certification of documents where requiredCollate and verify evidence of identity in line with compliance requirementsOversee the production and checking of bespoke quarterly client valuationsManage the annual review process, ensuring reviews are scheduled, completed on time and appropriately recordedSupport the processing of client risk analysesCoordinate tax reporting information for clients and their accountants, including Capital Gains Tax reportingManage threads and tasks within XPlanHandle invoicing and credit control and monitor fee collectionManage incoming and outgoing post, scanning and electronic filingBook meetings and organise meeting roomsGreet and welcome clients and visitors to the officeThe Ideal Employee: Self-motivated and willing to take initiativeCommitted to professional self-development, with an openness to embracing new technologies such as AI toolsA collaborative team player who is comfortable working within a small, close-knit teamPositive, professional and client-focused in approachExperience required: EssentialMinimum two years’ administration experience within a financial planning or IFA firmAbility to liaise effectively with a variety of product providers and accommodate their individual processesHighly organised, with a systematic approach to managing workload and supporting colleaguesStrong attention to detail and a commitment to accuracyProficient in Microsoft Office (Word, Excel, Outlook)DesirableWorking knowledge of financial products including investment bonds, SIPPs, VCTs and investment platformsUnderstanding of how commission and fee structures operate within the advisory industryExperience using XPlan practice management softwareFamiliarity with FCA regulatory requirements relevant to financial services administration
