Using advanced algorithms and olfactory AI, we help customers discover and create fragrances shaped around their individual tastes, emotions and preferences.Each creation becomes a unique olfactive identity, translating personal preferences into a fragrance that feels distinctly their own.Role DescriptionThe Subscription Assistant Manager is a full-time, entry-level, on-site role based in Dubai, United Arab Emirates.The role supports the day-to-day management and delivery of The Perfume Movement’s subscription programme, helping ensure subscriptions are accurately processed, customer requirements are recorded, products are prepared and delivered on time, and subscription information is kept up to date.Working closely with Customer Experience, Operations, Production and Logistics, the role helps deliver a smooth and consistent customer journey from subscription sign-up through fulfilment and ongoing service.Key ResponsibilitiesSubscription ManagementManage the day-to-day administration of active subscriptionsMaintain accurate records of subscribers, plans, fragrance selections, deliveries and outstanding actionsTrack subscription timelines and ensure scheduled products and services are delivered as plannedProcess new subscriptions, renewals, amendments, pauses and cancellationsMonitor upcoming subscription requirements and coordinate actions with the relevant teamsCustomer CoordinationCommunicate with subscribers regarding plans, fragrance selections, appointments and deliveriesFollow up when customer information, selections or confirmations are requiredRespond to routine subscription enquiries professionally and promptlyRecord customer preferences and relevant feedback accuratelyEscalate exceptional requests or customer concerns when requiredFulfilment & LogisticsCoordinate with Production and Operations to ensure subscription orders are prepared correctly and on timePrepare and maintain weekly fulfilment requirementsVerify customer selections, quantities and delivery details before orders are releasedCoordinate deliveries and follow up on outstanding or delayed ordersResolve fulfilment discrepancies with the relevant internal teamsAteliersAssist with the preparation and running of The Perfume Movement’s fragrance AteliersFollow established Atelier protocols, procedures and service standardsEnsure fragrances, materials and customer requirements are prepared ahead of each AtelierSupport customers throughout the Atelier experience when requiredCoordinate post-Atelier fragrance selections, customer records and fulfilmentData & ReportingMaintain accurate subscription information across internal systems and trackersConduct regular checks for missing, incomplete or inconsistent informationPrepare basic reports covering subscriber numbers, upcoming deliveries, renewals, cancellations and outstanding actionsSupport subscription performance reporting and operational analysisInternal CoordinationWork closely with Customer Experience, Production, Operations, Logistics and other relevant teamsMaintain clear records of actions, deadlines and responsibilitiesSupport subscription-related meetings and follow up on agreed actionsIdentify recurring operational issues and suggest practical process improvementsMinimum RequirementsApplicants must:Already be based in Dubai, UAEHold a valid UAE driving licenceUnderstand that this is an entry-level positionBe available to work full-time and on-siteBe comfortable working directly with customers and supporting in-person fragrance AteliersCandidate ProfileBachelor’s degree or equivalent qualification preferred0–2 years of experience in operations, customer service, administration, hospitality, retail or a related fieldComfortable working with spreadsheets, databases and operational systemsClear written and verbal communication skillsProfessional and customer-focused approachAble to work effectively across different teamsAn interest in fragrance is beneficial, but prior fragrance industry experience is not requiredKey SkillsSubscription Administration — Maintaining accurate customer, order and subscription information.Operational Coordination — Coordinating activities across customer service, production and logistics.Attention to Detail — Managing customer selections, quantities, schedules and records accurately.Customer Service — Providing professional and responsive support throughout the customer journey.Organisation & Follow-Up — Prioritising tasks, monitoring deadlines and ensuring outstanding actions are completed.Data Management — Using spreadsheets and operational systems to maintain records and prepare basic reports.Success in the RoleSuccess will be measured by the accuracy of subscription records, timely fulfilment of customer requirements, effective customer follow-up, smooth coordination between teams, adherence to Atelier protocols and the overall reliability of subscription operations.
