Freight & Shipment Coordination
- Coordinate import and export shipments by sea, air, road, and courier.
- Obtain and compare freight quotations from shipping lines, freight forwarders, and logistics providers.
- Select the most suitable freight option based on cost, transit time, cargo requirements, and vessel schedule.
- Arrange bookings, collection, transportation, and delivery of cargo.
- Monitor shipments from origin to final destination and provide regular status updates to the manager.2. Shipping Documentation
- Prepare and review shipping documents, including commercial invoices, packing lists, Bills of Lading, Air Waybills, certificates of origin, delivery orders, and customs documents.
- Ensure consignee, shipper, cargo description, HS codes, weights, dimensions, and other details are accurate.
- Coordinate amendments to shipping documents when required.
- Maintain proper records of all shipment-related documentation.3. Customs & Clearance
- Coordinate with customs brokers and clearing agents for import/export clearance.
- Provide required documents and information for customs declarations.
- Follow up on customs inspections, duty payments, permits, and cargo release.
- Resolve customs-related issues and clearance delays.4. Vessel & Marine Logistics
- Arrange logistics and transportation of ship spares, equipment and technical materials to and from vessels.
- Coordinate deliveries to ports, shipyards, warehouses, and offshore locations.
- Coordinate transshipment and port deliveries.5. Warehouse & Inventory Coordination
- Coordinate receipt, storage, and dispatch of materials.
- Maintain proper records of incoming and outgoing shipments.
- Ensure cargo is properly packed and labelled before dispatch & storing in the warehouse
- Coordinate transportation from warehouse to vessels, shipyards, or project locations.6. Supplier & Forwarder Management
- Liaise with freight forwarders, shipping agents, courier companies, transporters, customs brokers, and suppliers.
- Negotiate freight rates and transportation charges where applicable.
- Monitor service performance and resolve shipment-related issues.
- Verify freight invoices against agreed quotations and supporting documents.7. Tracking & Reporting
- Track shipments and provide timely updates on ETD, ETA, customs clearance, delivery status, and delays.
- Maintain shipment registers and logistics records.
- Prepare periodic freight and logistics reports.
- Escalate delays or operational issues that may affect vessel/project schedules.Minimum Requirements:Education: Bachelor’s degree in Shipping & Logistics preferred; added value if IATA certified and UAE valid Driving License.Experience: min 5 years’ experience in freight and logistics Skills:Familiar with UAE ports’ and Airports’ customs & customs portal, rules & regulations.Knowledge of economic and accounting principles and practices.Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications.Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.Strong computer skills and good numerical skills.Very fluent in both written and spoken English. Solid analytical skills, with the ability to create financial reports and conduct cost analysesNegotiation skillsComfortable leading supplier relationship meetings and in negotiating Capacity to problem-solve and offer solutions to meet JAK requirements.Self-motivated, able to work under pressure, meet deadlines, and be resilient Ability to recognize and suggest improved ways of workingAbility to communicate clearly in English, verbally and in writing, face to face and over the telephone Experience in tracking and dealing with inquiries and working to deadlines Experience in planning, organizing, and prioritizing workload DesirableUsing logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.Judgment and Decision Making — Considering the relative costs and benefits of potential actions to choose the most appropriate one.
