Beyond front desk responsibilities, this individual provides meaningful support to daily office operations, stepping in on office management tasks as needed to keep the environment running smoothly and efficiently. This is a role for someone who is genuinely service-minded, highly organized, and takes pride in the environment they maintain and the experience they create for everyone who walks through the door.Key Responsibilities:Front Desk & Guest ExperienceServe as the primary point of contact for all visitors, guests, clients, and vendors arriving at the corporate office — greeting each person with professionalism, warmth, and a genuine commitment to a positive first impression.Maintain a clean, organized, and welcoming reception area at all times, ensuring the space consistently reflects the Park Square Homes brand and culture.Offer and coordinate hospitality services for guests and executive visitors, including coffee, tea, and refreshments, in a thoughtful and attentive manner.Answer, screen, and direct incoming calls promptly and professionally, routing inquiries to the appropriate departments and individuals.Manage incoming and outgoing mail, packages, courier services, and deliveries, including proper logging, routing, and notification of recipients.Office Operations & SupportAssist in the day-to-day operations of the corporate office, including monitoring and ordering office supplies, coordinating equipment maintenance, and supporting general facility needs.Ensure all meeting rooms and common areas are properly prepared, stocked, and maintained before and after scheduled use.Coordinate catering orders for internal meetings and office events, accommodating dietary preferences and ensuring all details are handled accurately and in advance.Support the onboarding of new employees by preparing workspaces, coordinating access credentials, and ensuring new team members have a smooth first day.Assist with scheduling, filing, data entry, document preparation, and other general administrative tasks as needed across departments.Coordinate with building management, vendors, and external service partners on office-related needs including repairs, maintenance, and deliveries.Monitor and reconcile office expenses and vendor invoices, maintaining accurate records for review by office management or leadership.Event & Meeting CoordinationSupport the coordination and logistics of internal office events, team gatherings, holiday celebrations, and company meetings — including scheduling, setup, catering, and post-event cleanup.Partner with the Executive Assistant team on company-wide events and special initiatives, handling assigned logistics with ownership and attention to detail.Prepare and stock conference rooms ahead of scheduled meetings, ensuring technology, supplies, and materials are ready and functional.Administrative & Recordkeeping SupportMaintain accurate office directories, contact lists, records, and databases, ensuring information is current and readily accessible.Track and manage office inventory levels, initiating restocking requests before supplies run low.Process and organize incoming correspondence, routing documents and communications to the appropriate individuals promptly.Provide general administrative support to leadership and staff on ad hoc projects, tasks, and requests as they arise.Vendor & Compliance SupportAct as a day-to-day liaison with office vendors and external service partners, coordinating access, scheduling, and issue resolution.Conduct regular walkthroughs of common areas to identify maintenance needs, safety concerns, or cleanliness issues and ensure prompt resolution.Support adherence to company policies, office procedures, and safety standards, helping to maintain a compliant and well-functioning workplace.Qualifications:Prior experience in a front desk, receptionist, office administrator, or administrative assistant role required;
