We coordinate multiple specialists around a unified plan so patients can restore function and move forward with clarity.Role overviewWe are hiring a Front Desk Coordinator to be the face and voice of the practice. You will greet patients, manage a high-volume phone line, support scheduling and intake workflows, while keeping the front office running smoothly. This role requires warmth, precision, and the ability to stay calm and effective in a fast-paced clinical environment.Key responsibilitiesPatient Experience & Front Desk OperationsWelcome patients, confirm key details, and ensure a smooth check-in/check-out experienceCreate a warm, calm, and professional environmentCommunicate clearly regarding next steps, logistics, and practice policiesHandle patient concerns professionally, de-escalate when appropriate, and escalate as neededMaintain HIPAA compliance and patient confidentialityCollect and document patient payments accuratelyPhone & Scheduling SupportAnswer and route calls through RingCentral, take accurate messages, and follow escalation protocolsManage a high-volume phone line with professionalism and responsivenessSupport scheduling, reschedules, cancellations, and time-sensitive requestsRoute questions appropriately to the appropriate departmentIntake & Documentation SupportSupport intake completion and verify required paperworkAccurately enter and update patient information in eCW and internal systemsIdentify missing information and coordinate with appropriate teams to ensure visit readinessFollow established SOPs, checklists, and workflowsOperational SupportMaintain an organized, professional, and fully stocked front deskEnsure clear handoffs across departmentsComplete daily administrative tasks including patient collection, faxing, scanning, printing, emailing, answering the phone, office coordination and moreEscalate issues early and maintain strong follow throughIdentify recurring issues and contribute to process improvementsQualifications3+ years in a front desk, patient access, hospitality, or high-touch customer service role in a healthcare settingStrong written and verbal communication and a professional, warm presenceDetail-oriented with excellent follow-through and comfort handling multiple prioritiesCalm under pressure and able to resolve issues with discretion and good judgmentTech-forward and comfortable learning systems quickly (Google Workspace and RingCentral; eCW is a plus)Reliable, punctual, and committed to in-person work Monday through FridayCompensation and benefitsCompensation: based on experience ($22.00 - $26.00/hr)Employment: W2Eligible Benefits: health coverage, 401(k), paid holidays, and PTO
