In this role, you will help create an exceptional experience for clients, agents, vendors, and guests while also providing important day-to-day support to our team.Responsibilities include answering and directing phone calls, greeting visitors, handling mail and deliveries, assisting with scheduling and general administrative needs, supporting team members with daily office tasks, and helping ensure the office runs smoothly and efficiently. This position plays an important role in keeping our team organized, supported, and able to provide a high level of service to our clients.The ideal candidate enjoys helping others, communicates professionally, pays attention to detail, and is always willing to step in and assist where needed. If you are dependable, personable, service-minded, and enjoy being part of a collaborative, high-performing team, we would love to hear from you.Compensation: $44,000 yearlyQualificationsProficiency with Canva is required, along with strong general computer and administrative skills.Working knowledge of Microsoft Office, Microsoft SharePoint, email, calendars, spreadsheets, and other common office programs.Previous experience as a receptionist, administrative assistant, customer service professional, or similar support role is preferred.Excellent interpersonal, communication, organizational, time management, and customer service skills.Professional, friendly, and confident when communicating with clients, vendors, visitors, and team members in person, by phone, and by email.Ability to manage multiple tasks, prioritize effectively, and remain calm and professional in a busy office environment.Detail-oriented, dependable, proactive, and willing to assist team members wherever needed.Comfortable learning and using new technology, software, and office systems.High school diploma, G.E.D., or equivalent required.ResponsibilitiesAnswer incoming phone calls, monitor general emails, and ensure messages and information are promptly routed to the appropriate team member.Greet clients, visitors, vendors, and team members warmly and professionally while providing directions or assistance as needed.Follow office visitor and sign-in procedures to help maintain a professional and secure workplace.Provide day-to-day administrative support to the team, including data entry, document preparation, scanning, copying, filing, and general office tasks.Assist with creating and updating basic marketing and office materials using Canva.Use common office and administrative programs confidently, including email, calendars, shared documents, spreadsheets, and other team systems.Help keep the front office, common areas, and shared resources organized, stocked, and running smoothly.Support team meetings, office events, and other internal activities with scheduling, preparation, materials, and coordination as needed.
