Full Health BenefitsVacation: 3 weeks available from the first day of workBonus: Eligible after 1 yearWork Eligibility: Permanent Residency status must be fully completedPosition OverviewWe are looking for a professional, friendly, and organized Receptionist to manage the front desk and provide administrative support across the organization.As the first point of contact, you will welcome guests, answer and direct incoming calls, manage daily mail, and coordinate various front-desk and administrative activities. The role involves approximately 40 phone calls per day, so strong communication and multitasking skills are essential.The ideal candidate will have a pleasant and professional personality, a strong customer service mindset, and the ability to manage multiple priorities in a fast-paced office environment.Key ResponsibilitiesGreet and welcome guests and visitors in a professional and friendly manner.Direct visitors to the appropriate person or department.Answer, screen, and forward approximately 40 incoming phone calls per day.Provide accurate and basic information in person, by phone, and via email.Maintain a clean, organized, and presentable reception area.Ensure reception has the necessary stationery, forms, brochures, and supplies.Receive and distribute daily mail.Maintain office security by following safety procedures and monitoring the reception logbook.Control visitor access through the reception desk.Order front-office supplies and maintain inventory levels.Coordinate bi-weekly lunches for the Ontario office.Assist the AR Manager with cash application.Process credit notes and perform other basic administrative tasks.Assist with filing, photocopying, scanning, and transcribing.Support travel arrangements and other general clerical activities as required.Perform other administrative and receptionist duties as assigned.Qualifications & RequirementsProven experience as a Receptionist, Front Office Representative, Administrative Assistant, or similar role.Strong customer service skills and a professional attitude and appearance.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite.Hands-on experience with office equipment such as printers and postal machines.Excellent organizational and time-management skills.Strong ability to multitask and prioritize competing responsibilities.Resourceful and proactive when addressing issues.Friendly, approachable, and comfortable interacting with visitors, customers, and employees.Strong attention to detail and ability to maintain confidentiality.Must have fully completed Permanent Residency status.
