This position plays a key role in creating a welcoming environment while providing administrative and operational support across multiple departments.The ideal candidate is polished, detail-oriented, proactive, and able to balance a variety of responsibilities in a fast-paced office setting. Success in this role requires strong communication skills, sound judgment, professionalism, and a commitment to delivering exceptional service.Given the responsibilities and level of in-person interaction required, this role is fully onsite at our client's Uptown Dallas office.Key ResponsibilitiesGreet and assist visitors, vendors, and guests in a professional and courteous manner.Answer and direct incoming phone calls, respond to general inquiries, and ensure timely follow-up.Manage incoming and outgoing mail, packages, and deliveries.Coordinate meeting rooms, prepare materials for meetings, and assist with scheduling and calendar management.Maintain office supplies, place orders, and ensure common areas remain organized and well-stocked.Provide administrative support including data entry, document preparation, filing, scanning, and record maintenance.Assist with travel arrangements, expense reporting, and special projects as assigned.Support internal events, meetings, and office initiatives.Maintain confidential information and exercise discretion when handling sensitive matters.Collaborate with team members to ensure efficient day-to-day operations and a positive office experience.Qualifications2+ years of experience in a receptionist, administrative assistant, office coordinator, customer service, or similar support role.Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.Excellent verbal and written communication skills.Strong organizational and time-management abilities with the capacity to manage multiple priorities.Professional demeanor and customer-first mindset.Ability to work independently while contributing effectively to a team environment.High attention to detail and commitment to accuracy.Associate's or Bachelor's degree preferred.What Makes Someone Successful in This Role?A positive, approachable, and professional presence.Strong problem-solving skills and the ability to anticipate needs.Excellent follow-through and reliability.A willingness to take initiative and support the team wherever needed.The ability to remain organized and composed while managing competing priorities.This is an excellent opportunity for an administrative professional who enjoys being the hub of a busy office, building strong relationships, and contributing to a collaborative and professional workplace culture.
