Department: Rooms Division, Front Office & Guest ServicesLocation: United Arab Emirates - DubaiDescriptionProvide clerical/secretarial and administrative support for the Front Office Department, including typing, computer input, filing, tracing, answering telephones, printing reports, payroll, maintaining employee files and departmental record logs.Key ResponsibilitiesMaintain complete knowledge of:All hotel features/services, hours of operation.All hotel room types, numbers/names, layout, appointments, amenities and locations.Access all functions of computer system in accordance with departmental specifications.Set up work station with necessary supplies, maintain cleanliness throughout shift.Legibly complete requisition for additional supplies/materials and submit to manager.Maintain updated resource materials on all vendors and information to accommodate guest inquiries.Review designated in-house guest list and be familiar with guests' names and room locations.Print designated reports and distribute accordingly.Update room status report in accordance with departmental procedures.Monitor and track status of out of order rooms; update accordingly.Prepare work orders for maintenance repairs and distribute to Engineering. Monitor completion of work submitted.Carry out training for new employees and on the job training. Motivates staff to bring about excellent performanceLiaise and coordinate with various departments to ensure all information on guests are accurate such as rate, room type, billing, guest requests and oversee that guests’ specific requirements are addressed in an efficient mannerKeep abreast on hotel products and services as well as on tourist and business traveling information that may be of any interest to our guestsAt the end of shift, do handover reporting guest complaints, unusual situations and incidents that need follow up, to ensure efficiency in the operationAccomplish a set of administrative duties such as briefing, producing, reviewing and writing reports and other specific duties related to the job functionSkills, Knowledge and ExpertiseTo fill the position, one of the following is required:Minimum of 1 to 2 years experience in a receptionist position at Front OfficePreferably in an international five star hotelOperational knowledge of front desk operationsKnowledge of VIP welcoming protocol Solid Knowledge in Microsoft Office (Word, Excel and PowerPoint)Advanced knowledge of OperaBasic knowledge of Micros About KempinksiFounded in Germany in 1897, Kempinski Hotels has long reflected the finest traditions of European hospitality.
