Apply & track with Apply EdgeRole Overview:The Fuel Vendor Specialist is responsible for supporting the development, management, and optimization of UAS’ global aviation fuel supplier network. The role focuses on identifying and onboarding reliable fuel vendors, negotiating competitive commercial terms, monitoring supplier performance, benchmarking fuel pricing, and ensuring the availability of cost-effective and compliant fuel solutions across UAS’ global network.The position works closely with Commercial, Operations, Finance, and other internal stakeholders to ensure fuel requirements are fulfilled efficiently while maintaining strong vendor relationships, competitive pricing, service quality, and commercial profitability.The Fuel Vendor Specialist will also support the continuous expansion of UAS’ fuel network by identifying new suppliers and fueling locations, evaluating market opportunities, and maintaining accurate vendor, pricing, contractual, and compliance information.Key Responsibilities:Fuel Vendor Sourcing & Network DevelopmentIdentify, evaluate, and source qualified aviation fuel suppliers across existing and new locations in line with UAS’ operational and commercial requirements. Support the continuous expansion and optimization of UAS’ global supplier network. Research fuel markets and identify alternative suppliers to improve coverage, competitiveness, reliability, and commercial flexibility. Conduct vendor assessments and due diligence prior to onboarding new suppliers. Vendor Relationship ManagementDevelop and maintain strong professional relationships with global and regional aviation fuel suppliers. Act as a key point of contact for fuel vendors regarding commercial terms, pricing, service performance, operational requirements, and related matters. Conduct regular vendor performance reviews and follow up on identified service or commercial issues. Fuel Pricing & Commercial NegotiationsObtain, analyze, and negotiate fuel prices and commercial terms with suppliers to support competitive client offerings and sustainable margins. Benchmark aviation fuel prices across locations, suppliers, and markets to identify cost-saving and commercial opportunities. Monitor global and regional fuel pricing trends and provide relevant market intelligence to internal stakeholders. Supplier Agreements & Contract ManagementCoordinate the preparation, review, renewal, and administration of fuel supplier agreements in collaboration with relevant internal stakeholders. Maintain an organized and up-to-date record of supplier contracts, commercial terms, expiry dates, and renewal requirements. Fuel Operations SupportWork closely with the Operations team to ensure timely and accurate execution of fuel arrangements based on client requirements. Coordinate with suppliers regarding fuel availability, confirmation, uplift requirements, and service-related matters. Support the monitoring of FQS and fuel arrangements, ensuring information is accurate and updated. Vendor Performance & AuditSupport the implementation and maintenance of a structured vendor evaluation and audit process. Monitor vendor performance against agreed criteria, including Pricing competitiveness, Service reliability, Response time, Fuel availability, Quality standards, Billing accuracy, Customer service and Contractual compliance VAT, Tax & Billing CoordinationMaintain awareness of applicable VAT exemption and VAT recovery requirements for Jet A-1 fuel across eligible locations. Coordinate with Finance and relevant vendors regarding VAT documentation, exemptions, recovery requirements, and billing matters. Support the verification of fuel invoices and commercial terms to identify discrepancies between agreed pricing and supplier billing. Market Analysis & Business SupportConduct ongoing research on aviation fuel markets, suppliers, airport fueling infrastructure, pricing trends, and industry developments. Provide fuel pricing and vendor information to Commercial, Sales, and Operations teams when required. Identify opportunities to improve UAS’ fuel coverage in strategically important locations. Support business-development initiatives by ensuring commercially competitive fuel solutions are available for existing and prospective clients. Reporting & Process ImprovementMaintain accurate reports on fuel vendors, pricing, agreements, performance, coverage, and commercial opportunities. Provide regular updates to the Commercial Director on vendor developments, pricing trends, supplier performance, and identified opportunities or risks. Required Qualifications:Bachelor’s degree in Supply Chain Management, Aviation, Business Administration, Procurement, Logistics, Engineering, or a related discipline. Minimum 3–5 years of relevant experience in aviation fuel, vendor relations, procurement, sourcing, commercial operations, aviation services, or a related field. Previous experience within aviation fuel procurement, aviation fuel supply, trip support, FBO, airline, business aviation, or aviation services is highly preferred. Good understanding of aviation fuel products, particularly Jet A-1, and aviation fueling requirements. Practical experience in vendor sourcing, commercial negotiations, supplier management, contract administration, or procurement. Understanding of fuel pricing structures and the ability to analyze and benchmark supplier quotations. Knowledge of VAT exemption and VAT recovery processes relating to aviation fuel is an advantage. Understanding of international supplier transactions, invoicing, and commercial documentation. Strong numerical and analytical skills with the ability to review pricing and commercial data. Proficiency in Microsoft Office, particularly Excel; experience with ERP, CRM, procurement, or fuel management systems is advantageous. Excellent written and verbal communication skills in English. Ability to work effectively with international suppliers and cross-functional teams across different regions and time zones.
